The Recruiting Coordinator role is pivotal in helping to ensure a best in class recruitment experience by providing a white glove service to candidates and hiring managers
Acting as a TA ambassador in this highly visible role, the HR Coordinator will take ownership in supporting the Talent Acquisition team in scheduling a high-volume of candidate interviews
The ideal candidate is a system savvy problem solver with a passion for getting things done with excellence and timeliness while working in a fast-paced environment
Plan and coordinate end to end interview itineraries across multiple time zones including meeting logistics, interview rooms, technology, etc.
Send pre-interview materials to candidates (as requested). These are typically time sensitive.
Generate and send interview invites to interview panelists and confirmation details to candidates with 100% accuracy.
Reschedule interviews/adjust itineraries (as needed); communicate via email and/or phone with candidates and interview panelists to gather availability.
Communicate professionally and maintain a high level of confidentiality at all times while managing sensitive data.
Dependable and knowledgeable first point of contact for all candidate interview related inquiries.
Schedule wrap-up meetings/feedback sessions for interview panels after interview (as requested)
Assist with streamlining processes and recommend areas for improvement to ensure a best in class recruitment experience.
Develop an understanding of the companys organizational structure as well as a knowledge of HR policies and procedures.
Process travel expense reimbursements for out of state candidates; process car and meal vouchers when required.
Provide scheduling and onsite support for internship programs events.
Assist with ad-hoc TA projects.
Completes all responsibilities as outlined on annual Performance Plan.
Completes all special projects and other duties as assigned.
Must be able to perform duties with or without reasonable accommodation.
MS Outlook and administrative or scheduling experience is required. Exposure to recruitment processes highly preferred.
Advanced communication skills (verbal and written); must have a welcoming and professional phone manner.
Stellar organizational skills and an eye for detail.
Ability to juggle multiple, complex and constantly changing scheduling requests and calendars.
Proficient at coordinating interviews across various locations (domestic & international) while exercising time zone discretion.
Ability to interact with all levels of employees and candidates.
Must maintain a high level of confidentiality and discretion while managing sensitive data.
Willingness to learn new systems, tools and processes.
Can-do attitude and a mindset for continuous process improvement; must have a bias for action and a service driven work ethic.
