Job description
- The Administration Manager, Mumbai is responsible for leading and managing the overall Administration function for the Head Office of Roquette in Mumbai
- This position will provide leadership to the Administration staff and ensure the departments goals are aligned with overall corporate objectives
- The position reports to the India Compensation and Benefits Manager based in Mumbai
Key Accountabilities:
- Provide planning and leadership to the Administration department by ensuring appropriate structures, systems, competencies, and values are developed.
- Manage the entire gamut of Administration, Housekeeping, Facility Management, Vendor Management, Travel Management, Event Management, and Infrastructure Management.
- Act as the primary liaison with the government and other local bodies, embassies, and consulates/vendors.
- Monitor the overall functioning of processes, identify improvement areas, and implement adequate measures to maximize stakeholder satisfaction level.
- Authorize all vendor invoices for payments and manage vendor relationships for housekeeping, cafeteria, transportation, courier, cab, printing, and stationary.
- Manage complete infrastructure and tasks, including developing and implementing procedures, controlling systems for maintaining quality standards.
- Support the Leadership Team on various administrative tasks and events.
- Managing Cell Phone Closed User Groups (CUGs)
- Record Management and Retrieval - on premises and off premises
- Visitors Management and maintaining meeting and conference rooms in good condition in office premises
- Ensuring seamless logistics for foreign visitors and senior leadership, including arrangements for accommodation, local transport, and restaurant bookings.
- Relocation assistance to new joiners / internal movements
- Administrative support to learning events, employee engagement events etc
Key Competencies Requirements:
- Strong communication, interpersonal, and leadership skills with an influencing personality.
- Compliances and legal knowledge to manage the Administration function.
- Good MS-Office (Word, Excel, PowerPoint) skills for better data representation, analysis, and reporting.
- Team management skills.
- Travel coordination for local/domestic/international travel.
- ERP/Attendance/Leave etc. tool knowledge and skills.
Qualifications/Requirements:
- Bachelors Degree (Must), Specialization/Masters in Administration (preferred).
- 8 to 10 years of quality experience in managing the entire gamut of Administration, Facility Management, Technical Services/Maintenance in large MNCs, or professionally managed Indian business houses/conglomerates, at the corporate level, managing overall administration and large-sized facilities for a multi-unit and multi-location set-up.
- Should have led a fairly decent-sized team and managed multiple service providers/vendors.
- Experience in a medium to high-volume manufacturing environment working on food/specialty chemicals/pharma-related segments will be preferred.
- Knowledge of legal requirements to manage the Administration function.
- Strong MS-Office skills for better data representation, analysis, and reporting.
