Job Description: Head Administration

Reporting Manager: School Principal

Job Purpose

To play a key role under the leadership of the School Principal to deliver the

administrative and operational functions that directly and indirectly support the academic

functions of the institution.

This includes planning and overseeing daily operations and logistics, facilities and

Managing Personnel Under The Following Departments

Security

Transport (school buses, 4 / 2 wheelers)

  • Catering Services (Kitchen and Canteen)

Stores (stationery and uniform)

Housekeeping and Maintenance (Infrastructure and fixed assets)

General Administration

  • IT services

Key responsibilities

  • Work collaboratively with academic heads and teams, understand their diverse

needs and challenges and provide timely solutions and resources to meet those

needs.

  • Plan, assign and manage maintenance and operations personnel.
  • Ensure school buildings, grounds, facilities and equipment are operational and

health, safety and security policies and guidelines are met and proper safety,

cleaning and sanitation standards are maintained.

  • Plan, prepare, manage and administer the annual administrative operations budget

in conjunction with key stakeholders.

  • Periodically review processes and refine/develop new ones to optimise resources

and enhance stakeholder satisfaction.

  • Monitor quality and optimise logistics for catering and transportation services.
  • Vendor management, contract agreements and renewals.
  • Procure and distribute academic materials and stationery following the

procurement policy

  • Upkeep and maintenance of HVAC, electrical and plumbing related equipment to

ensure high reliability.

  • Maintain inventory records and prepare reports as required.
  • Liaison with government and other agencies to ensure adherence to all mandatory

compliances.

Experience, Skills And Competencies

  • Minimum 5 years of experience as Administration Manager or similar role in an

educational setting or any service industry or in defence services.

  • Fluent in administrative processes and facilities management
  • Proficient user of MS Office, Outlook
  • Critical thinker and solutions-oriented
  • Strong team player
  • Good time-management skills
  • Strong interpersonal and communication skills
  • Post-graduate or equivalent qualification in any of these areas – management

studies, business, finance
