Job Description Marcomm & Events Manager
The Marcomm & Events Manager is an important role and entails the following aspects:
- Coordinate with and assist marketing agency for conceptualizing, creating and timely posting on social media and whatsapp groups
- Assist in devising an effective marketing plan/strategy for every event including pre and post marketing
- To ensure benefits of events are clearly highlighted in an exciting manner to members (to be involved in event planning also)
- To coordinate and assist respective Chairs in event management itself speaker, coordinating for venue, assist in negotiation etc
- Co-ordinate for designing, printing Newsletter & its circulation
- Sending out necessary communication emails to chapter reg. events, EO related benefits, etc
- Channels of Communication to be regularly updated
- To ensure that Chapter has an active and engaged social media presence
- Overall PR focus for Chapter
Key Requirements
- Must be Creative & have ability to think out of the box
- Conversant with usage of social media and relevant new trends
- Good command of English writing and expressions, flair for writing and editing
- Coordinate with multiple stakeholders
(Co-ordinate and follow up as per MC instruction)
- Acknowledge email receipt of membership alerts to prospects.
- Call and get their data and profile to check eligibility for membership criteria
- Call/email and co-ordinate to schedule interviews
- Keep the global network posted on board selects/rejects of prospects
- Assist board with required docs on their selection process
- Collection of local and global fee.
- Update their membership details in all channels of communication
ADMIN & FINANCE
- Global Fee and Chapter Fee renewals
- Sending Individual Invoices to all members by email and follow up on payment if required
(Co-ordinate and follow As per FC instruction
- Chapter dues collection and Review auditor reconciliation
- Payment Receipt generation if required
- Vendor Pay outs follow up once payment done
- Follow up on service tax filing, TDS deductions, society annual returns and others based on reqt.
- Zoho report/neft accounts on monthly basis.
- Assisting board on financial report
- Document and System Maintenance. Staff attendance

Co-ordinate For - New members to undergo online FTP
- FTP & MTP
- Maintain updated Moderators and Forum List Local and Global
- Moderator Summit and other programs
- Assist FC to schedule and fix trainer and co-ordinate with participants till end.
STRATEGIC ALLIANCE
- Work with the strategic committee team for member benefits.
- Check and verify partners info on hub and get update every on their renewal
- Support members to avail the benefits or guide them if they have any clarification
LEARNING
- Block your Calendar email, Update events info in all channels of Communication and gentle reminders
- Creatives designing Co-ordinate between board and vendor
- RSVP update
- Co-ordinate with day chair for the event
- Co ordinate with speaker for logistics, topic and other support as required
- Hall block, Seating and Hotel Co-ordination
- Compliments, Menu, AV setup, Book Video and Photo, Checklist to hotel before the event
- Standees co-ordination with vendor
- Recording Attendance and Feedback
- Co-ordinate vendor deliverables
COMMUNICATION
(Co-ordinate and follow as per CC instruction)
- Co-ordinate for designing, printing Newsletter & its circulation
- Sending out necessary communication emails to chapter reg. events, benefits, etc
- Channels of Communication to be updated
- Active social media (Events to be posted on open network like You tube, Instagram and twitter)
- PR
MyEO (Co-ordinate and follow as per MyEO Chair instruction)
- Venue block, Co-ordinate with event champion for event arrangements.
- Checklist submission to Venue
- Photo and video, standees requirement and other tasks pertaining to MyEO events
- Gmail Calendar update if required
- Help champion to upload event on EO hub
- RSVP status update to MyEO Chair
- Post event attendance + feedback form
MEMBERS
- Periodic Member communications, Support
- Birthday Reminders
- Courier and Logistics like hamper delivery and other grunt works as required.
BOARD
- Arrange board meetings
- Minutes, Agenda, Report generation
- Tracking Action Plan
- Support/Assist board when required
- Report generation for board meeting
- AGM (arrangements)
- Peak Award Checklist
- Strategy Summit
- Assist board in the staff recruitment
- Training and Guiding Vendor, Consultant and Co-staff
- Chapter Retreat: Assist Retreat team and back-end event planning, finance
- Liaison Ing with Region/EO Global and other chapter staffs
- Board Handover process
- Retreat registration and communication
- Support Board as and when required
