Position Description: The Admissions Coordinator is responsible for managing and overseeing the entire admissions process at KIS. The role demands a dynamic individual who can balance administrative responsibilities with effective communication skills, and a deep understanding of the IB curriculum and ethos.
Qualifications and Professional Skills
Bachelor's degree in Education, Administration, or related field (Master’s preferred)
Minimum of 5 years’ experience in an admissions role, preferably in an IB or international school setting
Strong understanding of the IB curriculum and educational philosophy
Have knowledge of the process and requirements of admissions appropriate for an international boarding school
Experience in sales & marketing, educational administration in more than one type of school system e.g. Indian, British, American, international Proven ability to work effectively with people from all cultures and backgrounds
Excellent communication and interpersonal skills
Proficiency in data management and analysis
Ability to work in a multicultural environment and commitment to diversity and inclusion
Key Responsibilities
Admissions Process Management
Initial Inquiry Response:
- Promptly and professionally respond to all inquiries from prospective families via phone, email, or in-person visits.
- Provide comprehensive information about the school’s IB programs, curriculum, extracurricular activities, and school values.
Application Processing:
- Manage the school’s online application portal, and assist families in navigating the application process.
- Oversee the collection and review of application materials, ensuring all required documents are submitted and up to date.
Assessment Coordination:
- Arrange and oversee student assessments and interviews, ensuring they are conducted in a manner consistent with the school’s ethos and admission policy.
- Collaborate with academic staff to evaluate the suitability of applicants based on academic, social, and emotional criteria.
School Tours and Parent Events:
- Organize and conduct school tours for prospective families, highlighting the unique aspects of the school, including facilities, classrooms, and extracurricular activities.
- Plan and execute parents’ events, coordinating with staff and current students to showcase the school environment and culture.
Enrollment Procedures:
- Guide accepted families through the enrollment process, including enrolment kit, fee payments, and orientation arrangements.
- Provide a welcome pack with essential information about the school
- Prepare class, dorm lists in consultation with the Dean
- At the beginning of each semester placing new students into appropriate residences, organize the procedure for new students to enter school and student residences .
Communication:
Internal Communication:
- Serve as a liaison between prospective families and various school departments, ensuring smooth information flow and collaboration.
- Regularly update school staff about admissions timelines, new student profiles, and any specific needs or accommodations required.
- Liaise with faculty and staff to coordinate student assessments and interviews.
External Communication:
- Serve as the primary point of contact for prospective families.
- Provide timely and accurate responses to inquiries via email, phone, and in-person.
- Establish open communication with parents and newly accepted students to facilitate successful adjustment on arrival
Marketing Collaboration:
- Work closely with the marketing team to develop communication materials such as brochures, emails, and website content that accurately represent the school’s programs and values.
- Assist in crafting compelling narratives for school marketing campaigns, highlighting student success stories and unique program offerings.
Documentation and Record Keeping:
- Maintain accurate and confidential student records.
- Prepare reports and statistics related to admissions.
Other Responsibilities:
- Support KIS guiding principles
- Interpret records coming from a wide range of educational systems, including primarily the Indian, British and American type
- Initiate bills for early departure and late arrival fees as well as late notification of withdrawal charges
- Maintain clear and open channels of communication with the Admissions and Marketing Director
- Other duties as assigned by the administration
