Job Title: Billing and Order Processing Analyst

Salary: Rs. 1,80,000 – Rs. 2,20,000 p.a.

Position Overview:

We are seeking a motivated and detail-oriented individual to fill the role of Billing and Order Processing Analyst. This position will involve managing billing activities, processing orders, coordinating with vendors for procurement, and providing excellent customer service to clients visiting our store. The successful candidate will have a strong background in accounting principles, good communication skills and capacity to handle customers effectively.

· Generate accurate and timely invoices for products and services rendered.

· Verify billing data to ensure accuracy and completeness.

· Address any billing discrepancies and follow up on outstanding invoices.

· Maintain organized billing records and documentation.

Accounts Receivable:

· Monitor accounts receivable aging and follow up on overdue payments.

· Coordinate with clients to resolve billing inquiries and payment issues.

· Reconcile payments received with invoices and update accounting records.

Order Processing:

· Receive and process customer orders for medical equipment and supplies.

· Ensure order accuracy and timely fulfilment by coordinating with the vendors.

· Communicate order status updates to customers and address inquiries or concerns.

· Place orders with vendors for replenishing inventory and securing necessary supplies.

Vendor Relations:

· Establish and maintain relationships with vendors and suppliers.

· Negotiate terms, pricing, and delivery schedules to ensure optimal procurement.

· Coordinate with vendors to track order status, resolve issues, and manage returns if necessary.

Customer Service:

· Greet and assist customers visiting the facility, providing a positive and professional experience.

· Address customer inquiries, provide product information, and assist with order placement.

· Handle phone calls and emails promptly, resolving customer concerns and inquiries effectively.

Documentation and Reporting:

· Maintain accurate records of billing transactions, orders, vendor communications, and customer interactions.

· Prepare reports on billing, order processing, and inventory management metrics.

· Assist with financial reporting and analysis as needed.

Qualifications:

· Bachelor's degree in Accounting, Finance, Business Administration, or related field.

· Previous experience in billing, accounts receivable, order processing, or vendor relations preferred.

· Familiarity with medical billing procedures, terminology, and procurement processes is advantageous.

· Proficiency in accounting software like Tally and Microsoft Office applications, particularly Excel.

· Good communication skills, both written and verbal, with strong interpersonal abilities.

· Very good organizational skills, attention to detail, and ability to prioritize tasks effectively.

· Customer-focused attitude and dedication to delivering outstanding service.

Salary:

Additional performance-based incentives may be available. Salary is considered to increase to a substantial amount based on performance and commitment to work. All the above roles and responsibilities will be transitioned in a phased manner to the selected candidate.
