Responsibilities

GENERAL ADMINISTRATION:

  • Manage and coordinate daily administrative tasks to ensure the office operates smoothly.
  • Answer and direct phone calls, emails, and other communications.
  • Greet and assist visitors to the office.
  • Maintain a clean and organized office space.

Document Management

  • Create and maintain organized filing systems, both physical and digital.
  • Manage and distribute incoming and outgoing mail.
  • Prepare and edit documents, reports, and presentations as needed.

COMMUNICATION COORDINATION

  • Facilitate communication between various departments within the company.
  • Coordinate and distribute internal announcements.
  • Assist in drafting and proofreading internal and external communications.

Supply Management, Procurement And Order Processing

  • Monitor and replenish office supplies as needed.
  • Coordinate with vendors and suppliers for office equipment and services.
  • Assist in procurement processes.
  • Manage order processing efficiently.

Office Management And People Management

  • Manage office-related tasks, including WiFi, grocery supplies, and basic maintenance.
  • Maintain a proper inventory of laptops and other office equipment.
  • Utilize good people management skills to foster a positive and collaborative work environment.

It Support

  • Provide basic IT support, such as troubleshooting common computer issues.
  • Liaise with the IT department for more complex technical problems.

Travel Arrangements

  • Make travel arrangements for executives and other team members as required.
  • Prepare travel itineraries and ensure all necessary arrangements are in place.

Calendar Management

  • Schedule and coordinate appointments, meetings, and events.
  • Maintain and update executive calendars.
  • Assist in planning and organizing company events.
