Responsibilities GENERAL ADMINISTRATION: - Manage and coordinate daily administrative tasks to ensure the office operates smoothly.
- Answer and direct phone calls, emails, and other communications.
- Greet and assist visitors to the office.
- Maintain a clean and organized office space.
Document Management - Create and maintain organized filing systems, both physical and digital.
- Manage and distribute incoming and outgoing mail.
- Prepare and edit documents, reports, and presentations as needed.
COMMUNICATION COORDINATION - Facilitate communication between various departments within the company.
- Coordinate and distribute internal announcements.
- Assist in drafting and proofreading internal and external communications.
Supply Management, Procurement And Order Processing - Monitor and replenish office supplies as needed.
- Coordinate with vendors and suppliers for office equipment and services.
- Assist in procurement processes.
- Manage order processing efficiently.
Office Management And People Management - Manage office-related tasks, including WiFi, grocery supplies, and basic maintenance.
- Maintain a proper inventory of laptops and other office equipment.
- Utilize good people management skills to foster a positive and collaborative work environment.
It Support - Provide basic IT support, such as troubleshooting common computer issues.
- Liaise with the IT department for more complex technical problems.
Travel Arrangements - Make travel arrangements for executives and other team members as required.
- Prepare travel itineraries and ensure all necessary arrangements are in place.
Calendar Management - Schedule and coordinate appointments, meetings, and events.
- Maintain and update executive calendars.
- Assist in planning and organizing company events.
