Role Purpose:
The position will be responsible for Operations & Retail Relations management and positioning of the Shopping Centre (Retail Vertical); providing support and setting higher benchmarks in line with Virtuous Retail's Visions and Mission ensuring the long-term business goals are achieved.
Core Responsibilities:
Budgeting (planning & administration) and setting policies & procedures:
- Forecasting financial operating budgets for the operations department and ensure the set CAM budgets are adhered;
- Oversee the Heads of Department for functions like Housekeeping, Security & Safety, Retail Relations etc. to formulate an overall plan and strategies for execution and monitoring for all departments with an aim to achieve the set objectives.
- Ensure the shopping centre management SOPs are in place and the guidelines are adhered by all the departments;
- Ensuring the reporting and escalation matrix is in place and adhered to;
Operations Management:
- Prepare plans and schedules for regular and periodic maintenance in conjunction with relevant department heads and follow up on quality and execution;
- Work closely with the Operations team to ensure building facilities engineering and conservancy services such as maintenance works, security, housekeeping, landscaping and parking are coordinated effectively;
- Perform routine inspection of the shopping centre to ensure that the day to day operations of mall are well monitored and taken care of;
- Drive the implementation of the Asset Enhance Initiatives (AEI).
- Follow legal procedures with respect to mall operations and tenant interactions;
- Oversee compliance (water and waste management, fire inspections etc.) and liaison with civic agencies to ensure smooth operations of facilities;
- Ensure timely audits and 100% statutory compliance of all labour related matters of third party outsourced manpower.
Coordination and management of functions:
- Manage, supervise and direct subordinates to ensure that their respective functions are performed diligently, efficiently and effectively;
- Integrate all department functions to achieve a smooth operation;
- Develop and maintain professional standards within the shopping centre management team and to maintain the integrity of all systems and reports;
- Develop and maintain close and productive working relationships among key departments in the centre;
Financial Reviews:
- Monthly monitoring of outsourced vendors performance to ensure that they are delivering as per defined SLA's;
- Financial operations including budgeting, cash flow planning, feasibility studies, control of assets, budget monitoring;
Retail Relations Management:
- Develop and maintain a long-term beneficial relationship with all existing tenants a to ensure continued and future business;
- To ensure smooth and positive relationship with the tenants, suppliers and contractors;
- Ensuring that VR's corporate and Design standards are executed as per approved SOP;
- Resolves complaints and demands of tenants and work to remove the causes of the complaint and respond to their requests within the legal and contractual obligations;
- Oversee / hold vendor / tenant meeting at regular intervals;
MIS, Reporting:
- Budget planning and impact analysis.
- Prepare weekly and monthly reports on budgets and other relevant details;
- Monthly / quarterly presentation to the Centre Head on overall mall management operations and updates;
Team Management:
- Ensure effective execution of the team members KRAs / KPIs;
- Provide timely resolution / guidance when required;
- Establish rapport with subordinates, create and maintain department morale and build team efforts to achieve excellent results.
- Ensure good team discipline in terms of adherence to company's policies, attendance as well as punctuality.

Qualifications:
- Must have 10+ years of progressive experience in Operations, including minimum 2
- in a leadership role. Preferably from a high growth organization from Retail Shopping Centres, Retail, Hospitality and Consumer Service / Facing organisations.
- Proven ability to identify and develop robust plans for profitable business growth.
- Effective management, training and development of a large team.
- Strong ability to negotiate with and manage key accounts and partners successfully.
- The equivalent of a bachelor's degree in Hospitality - an MBA would be desirable.
