Key Responsibilities:
● Plan, coordinate, and book travel arrangements for employees, including flights,
accommodation, ground transportation, and other related services.
● Ensure adherence to the company's travel policies and guidelines.
Itinerary Management:
● Develop detailed travel itineraries, providing comprehensive information on flights,
accommodations, meeting schedules, and any other relevant details.
● Distribute itineraries to employees and relevant stakeholders.
Expense Management:
● Assist in managing travel-related expenses, ensuring accurate record-keeping and
adherence to budgetary guidelines.
● Reconcile travel expenses and process reimbursements in a timely manner.
Vendor Management:
● Liaise with travel agencies, hotels, and transportation providers to negotiate rates,
resolve issues, and ensure cost-effective solutions.
● Establish and maintain strong relationships with travel service providers.
Emergency Assistance:
● Act as a point of contact for employees during travel emergencies, providing timely
assistance and solutions.
● Collaborate with relevant stakeholders to address unforeseen challenges.
Documentation and Reporting:
● Maintain accurate records of travel arrangements, expenses, and related
documentation.
● Generate reports on travel-related expenses, patterns, and trends.
Continuous Improvement:
● Identify opportunities for process improvement within the travel desk function.
● Implement efficient and innovative solutions to enhance the overall travel experience for
employees.
Skills:
● Proven experience in travel coordination, preferably in a corporate environment.
● Excellent communication and interpersonal skills.
● Strong organizational and multitasking abilities.
● Proficiency in travel management software and tools.
● Knowledge of travel regulations, visas, and immigration processes.
