Job description

Position Overview:

We are seeking a highly competent and motivated Operations Manager to join our wine consultancy business. As an Operations Manager, you will play a critical role in overseeing and optimizing the day-to-day operations of our company. Your primary responsibility will be to streamline processes, manage resources, and ensure the smooth functioning of our operations. This is an exciting opportunity to contribute to the success of a growing wine consultancy business and make a significant impact on our overall efficiency and profitability.

Key Responsibilities:

  1. Operational Strategy Development: Collaborate with senior management to define and implement operational strategies, goals, and objectives aligned with the company's vision and mission.
  2. Process Improvement: Identify areas for operational improvement and efficiency enhancement, develop action plans, and implement process optimization initiatives across all departments.
  3. Resource Management: Effectively allocate and manage resources, including personnel, equipment, and materials, to ensure optimal productivity and cost-effectiveness.
  4. Event Management: Plan, organize, and execute wine-related events, including tastings, wine dinners, corporate functions, and private events. This includes managing all aspects of event logistics, such as venue selection, vendor coordination, budgeting, scheduling, and on-site supervision.
  5. Client Servicing: Build and maintain strong relationships with clients, understanding their wine preferences, event requirements, and overall expectations. Provide personalized recommendations, expert advice, and exceptional service throughout the client engagement process.
  6. Wine Selection and Procurement: Collaborate with clients to curate customized wine selections based on their preferences, budgets, and event themes. Utilize your wine expertise and industry knowledge to source and procure quality wines from various suppliers and distributors.
  7. Vendor Management: Liaise with wine suppliers, F&B service providers, and other vendors to negotiate contracts, manage deliveries, and ensure seamless collaboration for events. Maintain strong partnerships and continuously evaluate vendor performance to ensure the highest level of service.
  8. Budgeting and Cost Management: Develop event budgets and effectively manage costs to ensure profitability while meeting client expectations. Monitor expenses, negotiate favourable pricing, and seek opportunities for cost optimization without compromising quality.
  9. Wine Education: Support with wine knowledge for event presentations, event collaterals and others. Elevate the overall wine experience for participants and contribute to their wine appreciation journey.
  10. Quality Control: Establish and enforce quality control standards, procedures, and guidelines to ensure consistent delivery of high-quality services to clients.
  11. Risk Management: Identify potential risks and develop contingency plans to mitigate operational disruptions, ensuring business continuity and minimizing financial and reputational impact.
  12. Data Analysis and Reporting: Collect, analyze, and interpret operational data to provide insights and reports to senior management, facilitating informed decision-making and performance evaluation.
  13. Client Feedback and Follow-up: Collect feedback from clients regarding events and services provided. Use feedback to identify areas for improvement and implement changes to enhance client satisfaction and overall business success.
  14. Industry Networking: Actively participate in wine industry events, trade shows, and networking opportunities to stay updated on the latest trends, expand industry connections, and promote the consultancy's services.
  15. Team Leadership: Manage and motivate a diverse team, fostering a collaborative and results-driven work environment, and providing guidance, coaching, and support to enhance individual and team performance.
  16. Continuous Improvement: Stay abreast of industry trends, technological advancements, and best practices, and recommend innovative solutions to enhance operational efficiency, client satisfaction, and competitive advantage.
