Job Description:
As an Operations Administrator, you will play a crucial role in ensuring the smooth functioning of daily operations within the organization. Your responsibilities will encompass various administrative tasks, coordination with different departments, and supporting operational processes to enhance efficiency and effectiveness.
Key Responsibilities:
Company representative at off-site contract manufacturer in Fresno, CA
Document management and processing within SAP
1. Production Orders
2. Goods Receipts Purchase Orders
3. Delivery Notes
Assist in production schedule management based on company-provided forecasts and oversee daily production
Coordinate outgoing customer orders between San Jose team and Fresno CM team
Manage purchasing of specific components and coordinate shipping and warehousing to CM facility
1. Inventory reports and analysis
Assist in weekly production report development
Qualifications:
Bachelor's degree or equivalent in engineering, business, management
Working knowledge of SAP or other ERP software preferred
Self-motivated, with the ability to work both independently and with multiple teams
Ability to multi-task and work under pressure with excellent time management skills
Proficient in Microsoft Word, Excel, and Power-point
1-3 years experience in warehouse management, supply chain logistics, or other equivalent
Daily Operations Responsibilities:
1. Administrative Support:
Manage day-to-day administrative tasks such as filing, data entry, scheduling appointments, and handling correspondence.
Maintain organized records and documentation, both physical and digital, ensuring accuracy and accessibility.
2. Coordination and Communication:
Act as a liaison between different departments, facilitating communication and coordination to ensure seamless workflow.
Collaborate with team members to gather information, resolve issues, and streamline operational processes.
3. Operational Efficiency:
Assist in developing and implementing efficient operational procedures and policies.
Identify areas for improvement and recommend solutions to enhance operational efficiency and effectiveness.
4. Resource Management:
Coordinate logistics for meetings, events, and projects, including scheduling, venue arrangements, and material preparation.
Manage inventory and supplies, ensuring adequate stock levels and timely replenishment as needed.
5. Data Analysis and Reporting:
Compile and analyze data related to operational metrics, performance indicators, and key performance indicators (KPIs).
Prepare reports and presentations summarizing findings and insights for management review.
6. Compliance and Documentation:
Ensure compliance with relevant regulations, policies, and procedures.
Maintain accurate records and documentation to support compliance efforts and audits.
7. Support Team Collaboration:
Provide support to team members as needed, including assisting with training, onboarding new hires, and coordinating team activities.
Foster a positive and collaborative work environment through effective communication and teamwork.
