Role

We are seeking a highly organized and proactive Executive Assistant/Secretary to provide comprehensive administrative support to the CEO of our client. The ideal candidate should possess exceptional communication skills, attention to detail, and the ability to multitask effectively in a fast-paced environment. The Executive Assistant/Secretary will play a pivotal role in maintaining smooth operations and facilitating efficient communication within the organization.

Responsibilities

  • Provide administrative support to the CEO, including managing calendars, scheduling appointments, and arranging meetings.
  • Coordinate travel arrangements, including flight bookings, hotel accommodations, and transportation arrangements.
  • Prepare and edit correspondence, presentations, and reports as required.
  • Act as the primary point of contact for internal and external stakeholders, including screening phone calls, emails, and visitors.
  • Maintain filing systems, both electronic and physical, ensuring efficient organization and easy retrieval of documents.
  • Assist in preparing agendas and taking minutes during meetings, as well as follow-up on action items.
  • Handle confidential information with discretion and maintain confidentiality at all times.
  • Assist in organizing company events, conferences, and seminars, including logistics, catering, and materials preparation.
  • Perform general office duties, such as photocopying, scanning, filing, and mail distribution.
  • Collaborate with other administrative staff to ensure seamless operations and support across departments.
  • Undertake ad-hoc tasks and projects as assigned by the executive team.

Requirements

  • Proven experience as an Executive Assistant, Secretary, or similar role, preferably supporting senior executives.
  • Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.
  • Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines effectively.
  • Strong interpersonal skills and the ability to communicate confidently and professionally with individuals at all levels.
  • High degree of discretion and confidentiality, with the ability to handle sensitive information appropriately.
  • Detail-oriented with a commitment to accuracy in all tasks.
  • Ability to work independently with minimal supervision and as part of a team.
  • Flexibility and adaptability to changing priorities and deadlines.
  • Bachelor's degree in Business Administration, Secretarial Studies, or a related field is preferred.
  • Additional certifications or training in office administration or executive assistance is a plus.

Location : Bangalore, Remote

Salary : 5-7 LPA
