Job description
We are seeking a highly competent and versatile individual to join our team as a Receptionist with Back Office responsibilities. This role requires proficiency in MS Office applications, excellent communication skills, and the ability to handle various administrative tasks.

Responsibilities - Reception Duties:
- Greet and attend visitors (if any) making sure concern person is informed and visitor is not left unattended
- Answer and taking phone calls, taking messages when necessary
- Handle incoming amp; outgoing mail, packages and deliveries – Maintain record of the same
- Maintain a tidy and presentable reception area
- Administrative Support:
- Assist with various administrative tasks, such as filing, photocopying, and scanning documents.
- Schedule appointments and manage calendars
- Coordinate meetings and conference room bookings and making sure all is in place
- During Client visit, make sure entire office is tidy and get it managed by the help
- Make sure drinking water and tea/coffee machines are operational all time and is available
- Assist with managing office equipment, such as printers, scanners, and copiers.
- Handle basic bookkeeping tasks, such as processing invoices and expense reports.
- Assist with data entry and database management.
- Provide logistic support to the CEO for business trips, ensuring that all travel arrangements are in place.
- MS Office Proficiency:
- Utilize MS Office applications (Word, Excel, PowerPoint, and Outlook) effectively to create, edit, and format documents, spreadsheets, presentations, and emails.
- Maintain and update databases and spreadsheets accurately.
- Generate reports and analyse data using MS Excel.
Other Requirements - Communication effectively and professionally via phone, email, and in-person interactions.
- Liaise with various departments to ensure smooth communication and coordination.
- Minimum Graduation with any specialization, additional certifications in office administration or related fields are a plus.
- Proven experience as a receptionist or in a similar administrative role. (Min. 1 year)
- Attention to detail and multitasking abilities.
- Professional appearance and ethical conduct at all times
- Be familiar with Japanese culture and customs OR have ability to learn the same
