Job description
Responsible for supporting the day-to-day activities associated with vendor management / external Resources management. Opportunity management: support the VDCs with their need for external services.
Your Job
- Opportunity Management: support PharmaLex business units (VDCs) with Vendor pricing and information for new opportunities.
- This includes understanding the need and identifying the relevant Vendors to select for the opportunity.
- RFI/RFQ Management: Prepare and send Request for Information (RFI) and Request for Quotation (RFQ) to potential vendors. This includes gathering necessary information, preparing the RFI/RFQ, and managing the responses.
- RFQ/RFI Tracking: Responsible for tracking all Request for Information (RFI) and Request for Quotation (RFQ) sent to potential vendors. This includes maintaining a detailed log of all RFIs and RFQs sent, including the date sent, vendor details, response deadline, and status of the response.
- Vendor sourcing: search and find new Vendors where needed. The Vendor management specialist reaches out to these vendors to understand their service offerings. This includes initiating contact, setting up meetings, and asking relevant questions to understand the vendor s capabilities, service offerings, and how they align with the company s needs.
- Select Vendors to be contacted for PharmaLex opportunities
- Price negotiation: with vendors to reach company objectives where necessary.
- Administrative Support :Provide administrative support as needed. This role will dedicate approximately 20% of its time to support administrative tasks related to vendor management (such as validating the on/off-boarding of new Vendors in PharmaLex systems, requesting GDPR agreements signature to new Vendors, etc..)
Your Profile
- Experience as an Administrative Assistant or Vendor management specialist is preferred
- Experience with management of RFQ/RFI
- Attention to detail and problem-solving skills
- Strong organizational skills with the ability to multi-task
- Ability to work in a team
- Proficiency in MS Office (MS Excel and MS Word, in particular)
- Very good command of English (written and oral)
- Good communication skills (experience handling meetings with Vendors)
