Job Description:
Calendar Management:
- Coordinate and manage complex executive calendars, scheduling meetings, appointments, and travel arrangements.
- Proactively anticipate scheduling conflicts and ensure efficient time management.
Communication Management:
- Act as a primary point of contact for internal and external communications on behalf of the executives.
- Draft and edit emails, memos, reports, and other documents with a high level of accuracy and professionalism
Meeting Coordination:
- Arrange and organize internal and external meetings, ensuring all necessary resources and materials are prepared.
- Prepare meeting agendas, take minutes, and distribute relevant information as needed.
Travel Arrangements:
- Coordinate domestic and international travel arrangements, including flights, accommodations, and transportation.
- Provide detailed itineraries and travel packs to executives prior to trips.
Document Management:
- Organize and maintain executive files, documents, and records, ensuring confidentiality and easy retrieval.
Administrative Support:
- Handle administrative tasks such as expense reports, invoice processing, and other ad-hoc requests.
- Assist with special projects and initiatives as assigned by the executive team.
Relationship Management:
- Build and maintain strong working relationships with internal and external stakeholders.
- Serve as a liaison between executives and various departments within the organization.
Qualifications:
- Bachelor's degree or equivalent experience.
- Proven experience as an executive assistant or in a similar administrative role.
- Experience in Advertising/ Digital Marketing industry is preferable
- Exceptional organizational and multitasking skills.
- Experience in Advertising/Digital Marketing field will be an add on.
- Strong written and verbal communication skills.
- Proficient in Microsoft Office Suite and other relevant software.
- Ability to handle sensitive information with discretion.
- Strong attention to detail and problem-solving skills.
