Job description

JOB DESCRIPTION OF PURCHASE OFFICER.

Identify potential suppliers and maintain a comprehensive supplier database.

Research and evaluate suppliers based on price, quality, delivery capabilities, and reliability.

Develop and maintain positive relationships with existing suppliers and actively seek new suppliers to ensure a diverse supply chain.

Collaborate with various departments to understand their purchasing requirements and create purchase requisitions.

Prepare and issue purchase orders (POs) to approved suppliers after evaluating quotes and negotiating terms.

Monitor the procurement process to ensure timely and accurate delivery of goods and services.

Negotiate prices, terms, and conditions with suppliers to achieve favorable agreements that balance quality and cost-effectiveness.

Strive to achieve cost savings through bulk purchasing, competitive bidding, and strategic negotiations.

Monitor inventory levels and ensure optimal stock levels to prevent stockouts and excess inventory.

Coordinate with the inventory team to track goods received, inspect their quality, and update inventory records.

Collaborate with quality control teams to ensure that purchased goods meet the organization's quality standards.

Address any quality issues, discrepancies, or defects promptly with suppliers and initiate corrective actions.

Maintain accurate and up-to-date procurement records, including purchase orders, contracts, invoices, and other relevant documents.

Generate regular reports on procurement activities, cost savings, supplier performance, and inventory levels.

Ensure compliance with procurement policies, regulations, and ethical standards.

Uphold transparency and fairness in supplier selection and negotiation processes.
