Key Responsibilities:

  • Monitor and reconcile travel expenses to ensure adherence to budgetary constraints.
  • Leading Domestic and International Travel Desk Operations including Cabs/Flights/Hotels.
  • Processing/Filing Visa and the Forex cards.
  • Ensuring compliance with the company's travel policies and guidelines, including adherence to approved vendors, travel booking procedures, expense limits, and approval processes.
  • Visa Processing and filing for the Top management request.
  • Provided guidance and counsel to employees regarding Visa and Passport-related inquiries.
  • Maintaining the facility and overseeing the daily administrative operations
  • Overseeing the cleaning, landscaping, and parking.
  • Instructing team members on the best practices to maintain the property.
  • Performing regular inspections to ensure the building is functioning correctly.
  • Maintaining records, the facility, including maintenance bills and payment information.
  • Ensuring that catering services comply with food safety regulations and maintain high standards of hygiene.
  • Monitoring and maintaining high-quality standards for all vendor services.
  • Coordinate catering and vendor services for executive events, managing logistics, budgets, and communication to ensure seamless and high-quality experiences.
  • Supervise and oversee the maintenance, repair, and upkeep of facilities, including buildings, equipment, and grounds.
  • Coordinate with external vendors and contractors for facility-related services, such as janitorial, security, landscaping, and maintenance.
  • Conduct regular inspections to ensure compliance with safety, health, and environmental regulations.
  • Develop and implement facility improvement projects to enhance operational efficiency and employee satisfaction.
  • Manage administrative tasks, including office supplies procurement, mail distribution, and office equipment maintenance.
  • Oversee the reception area and ensure a welcoming and professional atmosphere for visitors and employees.
  • Maintain accurate records and documentation related to facility and administrative activities.
  • Assist in organizing company events, meetings, and conferences as needed.
  • Coordinate travel arrangements for employees, including flights, accommodations, transportation, and itinerary planning.
  • Ensure travel bookings are cost-effective and align with company travel policies.
  • Assist employees with travel-related inquiries and provide support in case of changes or cancellations.
  • Assist employees in efficiently and cost-effectively booking flights, hotels, and other travel essentials.
  • Communicate with employees and departments to understand travel needs and coordinate plans.
  • Regularly check if employees are following travel policies and address any issues.

Responsible for overseeing and managing Admin and Facility activities at Bangalore location.
