Job Description: Executive Assistant
Position: Executive Assistant
We are seeking a highly skilled and efficient Executive Assistant to provide secretarial support and executive-level assistance to our Director. The ideal candidate will be a smart, intelligent, and capable individual, preferably female, who is well-versed in English and possesses excellent organizational and communication skills. The Executive Assistant will play a crucial role in ensuring the smooth functioning of the Directors office by managing administrative tasks, coordinating travel plans, taking dictations, organizing meetings, and providing comprehensive support as needed.
Responsibilities:
1. Secretarial Support:
· Provide high-level secretarial support to the Director, including managing calendars, scheduling appointments, and handling correspondence.
· Maintain confidentiality of sensitive information and exercise discretion when dealing with confidential matters.
2. Travel Coordination:
· Book travel arrangements, including flights, accommodation, and ground transportation for the Director and other executive team members as required.
· Prepare detailed itineraries and ensure all travel arrangements are efficient and cost-effective.
3. Communication Management:
· Handle incoming and outgoing communications, including emails, phone calls, and written correspondence, on behalf of the Director.
· Take dictations, draft memos, reports, and other documents, and ensure accurate and timely delivery.
4. Meeting and Event Management:
· Coordinate and schedule meetings, conferences, and other events for the Director, including arranging venues, catering, audiovisual equipment, and necessary materials.
· Prepare meeting agendas, take minutes, and distribute relevant documents.
5. Administrative Support:
· Assist with the preparation of presentations, reports, and other documents.
· Conduct research, gather data, and compile information for various projects and presentations.
· Manage office supplies, maintain filing systems, and handle other administrative tasks as required.
Qualifications and Skills:
· Bachelors degree or equivalent qualification in a relevant field is preferred.
· Proven experience as an Executive Assistant or in a similar role supporting top-level executives.
· Excellent command of the English language, both written and verbal, with exceptional communication skills.
· Proficient in using productivity tools such as Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
· Strong organizational skills with the ability to multitask and prioritise work effectively.
· High level of discretion and confidentiality when handling sensitive information.
· Exceptional attention to detail and accuracy.
· Ability to work independently, demonstrate initiative, and make informed decisions.
· Professional demeanour and ability to interact with individuals at all levels of the organization.
