Summary of Position:
This role will ensure the vendor master data management process meets Alcon compliance requirements. This will include managing and reviewing change requests to critical data elements, such as banking information, email, etc. The position will work closely with VMD teams and global process owners on proactively reviewing incoming change requests with the goal to mitigate potential 'FRAUDULENT' vendor master changes which could result in financial loss to Alcon and/or its suppliers. The position will be responsible to deliver fraud case and/or finding analysis to GPO and relevant cross functional stakeholders.
Key Responsibilities: The position will support the VMD manager in maintaining service level agreements by handling escalations and resolve process challenges with the best possible solution with a global perspective. The ideal candidate should have previous experience in Procurement / Sourcing and a strong analytical background. The ideal candidate will have a high level of organizational skills with the ability to manage a process successfully and the ability to troubleshoot problems as they arise. Strong written and verbal communication is a must. This position / candidate must be able to think with agility and explore opportunities for new processes or tools which can improve effectiveness. This may include identification and implementation of industry best practices on process or validation tools/services which may be deployed locally, regionally, and/or globally. This position will also effectively manage stakeholders across functions including Procurement, Internal Audit, Finance teams etc. Schedule may vary and require shift work to support Global teams and business.
Key Requirements/Minimum Qualifications: - Education :Minimum: University degree, preferably Bachelor Finance or Business
- Experience requirement: Minimum 5-10 years of relevant experience in vendor master data management process, including FRAUD case handling and with a strong analytical background will be required.
- Experience in Procurement/Sourcing domain is preferred.
- Languages: Minimum: English (fluent written & spoken)
- Project Management & Business Operations:
- Lead project management efforts on instance of 'Fraudulent' changes by performing root cause analysis.
- Document and present findings/recommendations on the event of 'Fraudulent' master data change to Global Process Owner, Financial Assurance, Internal Audit, IT Security and procurement leadership council.
- Design and deliver a methodology to proactively analyze outstanding payments/supplier payment issues and work with operations team (VMD & AP) to resolve any challenges.
- Design and deliver weekly/monthly KPI, specifically on sensitive master data field changes.
- Drive operational excellence within the VMD process by adapting tools like Six Sigma/ Lean methodologies that will improve business process capabilities.
- Explore and support implementation and adoption of industry best practices for an efficient bank change validation process.
- Wherever applicable and as per process definition engage with supplier contacts to validate the VMD change is appropriate and meets Alcon process standards.
- Audit & Report:
- Audit supplier bank change validation process performed by the master data team.
- Monitor & review sensitive/critical change requests in vendor master data (banking, email etc..) by working closely with VMD operations team.
- Proactively challenge the Status Quo, making fact-based recommendations.
- Manages internal and external inquiries from business/supplier community about vendor master data changes.
- Service Delivery & Compliance:
- Ensure all processes, policies & procedures are clearly defined, fully documented.
- Ensure all processes comply with Alcon standards and policies.
- Promote a strong and control environment and follow up on audit issues and implement corrective measures.
- Support VMD operations process by monitoring daily volumes and work closely with Ops Manager on resource allocation for daily activities and ad hoc projects.
- Act as system key user and actively participate in improvements to sustain a highly effective and efficient process.
- Close coordination with Regional Business Functional heads and local business partners to provide seamless service and seek escalation support.
- Ensure effective communication with regional functions, correspond to internal and external inquiries within set SLAs.
- Create Reports, Data analysis and provide Analytical support as per business requirements.
- Owns TAT and Delivery of process metrics, resolve process issues, determine root cause analysis for all relevant issues.
