Job description

Position Summary The Event Specialist is responsible for the coordination of conferences and meetings, ensuring that all logistical and operational aspects are executed flawlessly. They work closely with the Event Manager to ensure client, sponsor, vendor, speaker, and internal team deliverables are collected on time in order to plan and deliver successful conferences. The Event Specialist will assist in managing details such as scheduling, budgeting, logistics, and participant experience.

Education and Qualifications • Education: Must have a master’s degree in a business-related or technical field. An equivalent of the same is also acceptable for this position. • Experience: At least 10 years of experience in driving consumer acquisition across marketing channels They will also have a history of driving a business’s growth in B2B marketing with innovative demand generation and prospecting campaigns, working with Adwords and other similar platforms. • Communication Skills: Communication skills are a must for the Director of Performance Marketing, both in written and verbal form. • Interpersonal Skills: 1. consumer-oriented always striving to meet consumer needs. 2. detail-oriented and have strong organizational skills. 3. able to prioritize and work comfortably on multiple projects and meet deadlines. 4. work effectively under pressure. 5. team-oriented using sound judgment in decision-making. 6. have the ability to develop and achieve measurable performance goals that support the business’s overall goals and metrics. 7. demonstrate calmness in uncertain and stressful circumstances. Responsibilities • Conference Planning: o Collaborate with sponsors to provide an exceptional onboarding experience that guides them through the steps and deadlines to make the most out of their investment with our conference. o Set-up sponsor profiles and assign tasks as sponsor sign contracts. o Maintain detailed event plans, timelines, and budgets for each conference. o Source venues and vendors, as needed. o Secure necessary permits and licenses, as required. • Logistics Management: o Coordinate logistical details, including transportation, accommodations, catering, A/V equipment, and signage. o Oversee event setup and breakdown, ensuring the event space is configured as needed. • Budget Management: o Monitor and manage conference budgets, ensuring expenses stay within the allocated budget. o Track all expenses and provide regular financial reports to clients or management. • Vendor and Supplier Coordination: o Manage vendors and suppliers, such as caterers, AV technicians, and decorators. o Ensure that all vendors meet the client's requirements and deliver their services on time and within budget. • Registration and Attendee Management: o Set up registration systems for conference attendees using Cvent. o Assist with attendee communication, including confirmations, event information, and registration updates. o Manage on-site registration and provide support for attendees during the conference. • Program Coordination: o Coordinate speakers, panelists, and presenters, including logistics and audiovisual needs. • On-Site Management: o Oversee all aspects of the conference on the day(s) of the event, including registration, exhibit hall, session management, and issue resolution. o Ensure that the event runs smoothly, addressing any unexpected issues as they arise. • Post-Event Evaluation: o Conduct post-conference evaluations and gather feedback from clients and attendees. o Analyze the event's success and areas for improvement and prepare a report.

Personal Qualities: o Bachelor's degree in Event Management, Hospitality, Marketing, or a related field. o Proven experience in event planning and coordination, especially in managing conferences. o Strong project management and organizational skills. o Excellent communication and negotiation skills. o Proficiency in event management software and tools – including Cvent, SharePoint, Microsoft Office and HubSpot. o Ability to work well under pressure and handle unexpected challenges. o Flexibility and adaptability to changing event requirements. o Speaks English fluently. o Experience working with US brands
