We are seeking a dynamic

Office Secretary – Tendering Department

to join our team.

Responsibilities: • Review tender documentation and understand the scope, requirements, and evaluation criteria specified by the client. • Prepare and organize tender documents, including technical specifications, drawings, pricing schedules, and supporting documentation. • Coordinate with external vendors and subcontractors to obtain necessary quotes, certifications, and other documentation required for tender submissions. • Ensure that all tender documents are accurately formatted, labelled, and organized according to the client's specifications and submission guidelines. • Conduct quality checks on tender documents to identify any errors, inconsistencies, or omissions and make necessary revisions or updates. • Maintain a central repository of tender documentation, ensuring version control and document security. • Assist in the development of standard templates, processes, and best practices for tender documentation management. • Provide administrative support to the tendering team, including scheduling meetings, managing correspondence, and maintaining filing systems. • Stay updated on industry trends, best practices, and regulatory requirements related to tender documentation. • Must be able to work on CPP and GeM.

Requirements: • Bachelor's degree or a related field. • Proven experience in tender documentation management, administrative support, or a similar role within the construction, engineering, or procurement sector. • Strong organizational skills and attention to detail, with the ability to manage multiple tasks and priorities simultaneously. • Proficiency in Microsoft Office suite (Word, Excel, PowerPoint) and document management software. • Excellent written and verbal communication skills, with the ability to effectively communicate technical information. • Ability to work independently with minimal supervision and collaborate effectively in a team environment. • Familiarity with tendering processes, procurement procedures, and contract management principles.
