Job Overview
We are seeking a highly organized and detail-oriented Executive Assistant to support our senior executives. As an Executive Assistant, you will provide administrative support and ensure the smooth operation of our executives' day-to-day activities. This is a mid-level position requiring 4 to 6 years of experience. The role is based in Chennai, Tamil Nadu, India and is a full-time position.
Qualifications and Skills
- Proven experience as an Executive Assistant or similar role for 4 to 5 years.
- Proficient in using Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Excellent verbal and written communication skills.
- Strong organizational and multitasking abilities.
- Attention to detail and problem-solving skills.
- Good typing speed and accuracy.
- Ability to draft professional emails and correspondence.
- Experience in handling travel arrangements and reservations.
- Proficient in computer usage and technology.
- Ability to maintain confidentiality and exercise discretion.
- Female candidates preferred.
Roles and Responsibilities
- Manage and maintain executives' schedules, appointments, and travel arrangements.
- Screen and respond to emails, letters, and phone calls on behalf of the executives.
- Prepare and edit correspondence, communications, presentations, and other documents.
- Coordinate meetings, conferences, and events, including catering and logistical arrangements.
- Take meeting minutes and follow up on action items.
- Conduct research and prepare briefing materials for meetings and presentations.
- Handle confidential and sensitive information with discretion.
- Assist in the preparation of reports and data analysis.
- Maintain and organize executive files and records.
- Perform general office duties, including ordering supplies and maintaining office equipment.
- Provide support to other team members and perform ad-hoc administrative tasks as needed.
