Executive Assistant Admin and Accounts

Job Overview: We are seeking a highly organized and detailoriented individual to join our team as an Executive Assistant. The ideal candidate will be responsible for providing comprehensive administrative support to the executive team while also possessing a strong background in accounting. This role requires excellent communication skills a high level of confidentiality and the ability to manage multiple priorities. The candidate will be supporting the Executive team and working with the team closely and supporting with finance and operation related activities.

Key Responsibilities:

Administrative Support:

Perform general office tasks to ensure smooth daily operations.

Process employee payroll file on a monthly basis.

Prepare HR letters and such for executive signing as needed.

Prepare and organize documents reports and presentations for meetings.

Handle phone calls emails and correspondence with professionalism and discretion.

Manage and coordinate executive schedules appointments and travel arrangements.

Accounting Tasks:

Process invoices receipts expense reports and payments in a timely manner.

Support the accountant in maintaining accurate and uptodate financial records.

Help reconcile bank statements and credit card transactions.

Assist in budget preparation and financial forecasting.

Prepare financial reports for review by management.

Communication and Collaboration:

Liaise with internal and external stakeholders to gather information and resolve issues.

Work closely with the finance team to ensure accurate and timely financial reporting.

Collaborate with other team members to facilitate efficient workflow.

Confidentiality:

Handle sensitive information with the utmost confidentiality and discretion.

Maintain a high level of integrity in dealing with financial and personal matters.

Qualifications:

Bachelors degree in Accounting Finance Business Administration or related field.

Proven experience as a Personal Assistant or Executive Assistant.

Excellent organizational and timemanagement skills.

Proficient in Microsoft Office Suite (Excel Word PowerPoint).

Experience using accounting software is a plus.

Exceptional communication and interpersonal skills.

Ability to prioritize tasks and work independently.

Discretion and trustworthiness in handling confidential information

Experience working in middle east will be good to have

Mode of working Flexible remote working . Might need to be in office 45 days a month or as per planned meetings or catchups.

Preferred female candidates with UAE experience
