Job description
- Perform and supervise general office activities: greeting visitors, filing, photocopying, processing outgoing and incoming mail, routing and screening all incoming calls, and distributing messages to appropriate team members.
- Oversee the preparation, analysis, negotiation, and review of contracts related to purchasing materials, supplies, products, or services.
- Provide or oversee centralized operations and procedures of services.
- Plan and coordinate monthly meetings.
- Create and maintain effective internal controls for inventory.
- Maintain and safeguard incoming and outgoing records of chemicals, petty cash, machines, stationery, gloves, shoes, goggles, uniforms, books, laptops and miscellaneous.
- Manage the organization’s office and storage space. Perform as link with various vendors, providing chemical, uniforms and all the materials required.
- Source and maintain vendor invoices and employee expense reimbursement forms and communicate to Accounting Department
- Ensure entire operations team adhere to policies and regulations
- Monitor inventory of office supplies and the purchasing of new material with attention to budget given.
Candidate Profile
- Ability to present information in a consistent, organized and accurate way in excel (Proficient in MS Office)
- Ability to communicate and work effectively with staff, the Director, and vendors.
- Ability to work in a self-directed, organized manner.
- Good working knowledge of office procedures and office management.
- Excellent ability to effectively communicate in both a verbal and written manner
- Excellent telephone receptionist skills.
- Ability to understand technical instructions.
- In-depth understanding of office management procedures and departmental and legal policies
- Education : Graduate
- Experience: 2-4 years as a admin/office assistant.
