Ad Hoc Virtual Assistant work within the Finance Industry

We are recruiting a Virtual Administrative Assistant to work with us providing ad hoc support for a client within the Financial sector.

You must have prior experience working within an administrative position in Finance and your responsibilities will include, but not be limited to:

Main Responsibilities

Organising meetings and schedules Maintaining complex diaries and multiple calendars Complex travel arrangements across multiple time zones: Flights, transfers and accommodation Organising roadshows Coordinating events Prepare and submit complex team expense reports in an accurate and timely manner with a thorough knowledge of expense management systems such as Concur Answering incoming calls and forwarding messages as appropriate Basic bookkeeping and clerical work; expenses and invoicing Manage couriers as required. Manage lunch / dinner reservation requests Managing internal and external stakeholders Supporting other members of the administration team Composing presentations Drafting reports Assisting with key documents – compilation and organisation Ad hoc administrative duties and projects Maintain the utmost level of confidentiality in all aspects of work and interaction with the team Outside traditional “day shift” hours required

Qualifications 5 years of experience in a virtual administrative position Experience working in a fast-paced, high-energy environment; financial services environment preferred Excellent judgment handling confidential data in a discreet manner. Strong organisational skills with attention to detail Flexible, proactive and supportive Strong problem-solving skills and “next-step” thinking with the ability to anticipate needs and identify, improve and implement processes Microsoft Office Experience including Outlook, PowerPoint, Excel, and Word Can bring creative and intuitive solutions to the team – always looking for a better way to work and produce results Strong interpersonal skills with ability to communicate, both oral and written, across all levels in the organisation Team player and adaptable; willing to perform tasks necessary to achieve common goals
