Hiring for an experienced, reliable, and task-oriented Executive Assistant
to the Director. The incumbent will work directly with executives and will be responsible for performing several administrative duties. You will play a pivotal role in ensuring the smooth functioning of the Directors office.
The ideal candidate possesses excellent communication and organizing skills and is highly self-motivated, professional, and capable of managing their workload and prioritizing tasks in a fast-paced corporate environment. This role involves providing high-level administrative support, coordinating schedules, and handling confidential information with discretion.
Role & Responsibilities - Calendar and Schedule Management:
- Maintain and organize the Director's calendar, scheduling appointments, meetings, and travel arrangements.
- Coordinate and prioritize commitments, ensuring the schedule is optimized for productivity.
- Information Management:
- Organize and maintain files, records, and documents,
- ensuring easy access and retrieval.
- Handle sensitive information with utmost
- confidentiality and discretion.
- Meeting Coordination:
- Take notes in meetings, conferences, and day-to-day activities of the Director. Follow up the agreed tasks with the departments heads to closure.
- Arrange for any materials required (Presentations, documentation, print hand-outs, memos, dairies) for all meetings efficiently.
- Receive and distribute relevant information to/from internal and external sources by telephone, email, or in person.
- Maintain organizational charts with the help of all organization-wide employees and staff.
- Travel Arrangements:
- Make travel arrangements for the Director and accompanying personnel which includes reservations (VISA applications, airline, car rental, local ground transportation, hotel, meals, etc.).
- Perform other administrative duties.
Minimum Requirement - Proven experience (typically 4 to 10 years) as an Executive Assistant or similar role supporting C-level executives.
- Bachelor's degree or equivalent experience may be preferred.
- Exceptional organizational and time-management skills.
- Strong verbal and written communication abilities.
- Proficiency in office software and scheduling tools.
- Extremely detail-oriented and with perfect follow-up skills
- Must have a high speed of writing for taking notes.
- Basic Project Management ability
- Ability to organize tasks, research, and keep records.
- Discretion and confidentiality in handling sensitive information.
- Advanced Microsoft Office skills, with the ability to become familiar with firm-specific programs and software.
- Ability to multitask and prioritize tasks in a fast-paced environment.
- Adaptability and resourcefulness in problem-solving.
