KEY ROLES & RESPONSIBILITIES
The Regional Manager will be responsible for the overall management of the thematic program in the region within the assigned/defined locations.
The Regional Manager will be responsible for success of all projects in the region. S/he will be primary Project Lead for minimum one project and will be responsible for success of all other projects of the thematic area via management & supervision of Project Leads of other projects in the region of the thematic area.
She/he is primarily responsible for implementing the program successfully as per the vision and mission, strategizing with AIFT and thematic program for the expansion with the existing and prospective donors, and also building and strengthening relationships with the state governments and central government agencies in the region. The region will include Telangana, Andhra Pradesh, Tamil Nadu & Karnataka. The position will be required to ensure program quality and a high level of networking with both internal and external stakeholders- Government, corporates, PSUs, and government agencies at the national, region, and state level as per program requirement.
The responsibilities include, but are not limited to:
Program strategy support:
- Understanding the objectives of the program and ensuring that these are met and exceeded through regularly revisiting strategy.
- Plan revise, adapt and operationalize activities of the projects
- Identifies best practices in the field and seeks opportunities to leverage them through replication and/or refinement.
Program delivery:
- Closely manage the execution of every aspect of projects delivery in the region.
- Meticulous Project tracking and evaluation efforts through smart, upfront, and ongoing data collection, and continuously identifying opportunities for improvement;
- Act as a local ambassador of the Program and ensure compliance with the Code of Conduct;
- Responsible for capacity building and mentoring of the respective program team of the region.
- Develop operating plans & goals with detailed project plan (micro-plans), for the delivery of the project as per organizational protocols & contractual commitments.
- Accountable for timely execution of all project's activities and operating plan as per organizational standards of time and quality to fulfill project's MoU / contractual commitments.
- Ensure excellent project management and effective utilization of time and resources.
- Analyze project risks.
- Based on project monitoring, Implement and manage changes and interventions to ensure project goals are achieved.
- Support in recruitment activities as per HR policies. Prepare JDs, NAFs, design & conduct technical assessments and participate in the selection process actively to ensure timely recruitment of qualified project manpower.
- Recruit, motivate and retain a high-quality Project field team with the help of HR in line with the AIF policies and procedures;
- Train the project team effectively to deliver to the needs of the project.
- Consultancy contract management for projects' consultants to ensure 100% compliance and zero deviations w.r.t organizational & legal compliances. Ensure contracts are Up-to-date and duly approved by Leadership before manpower is deployed on ground.
- Manage the project team to ensure project's goals are met, esp. in the areas including donor satisfaction, safety, quality, and teams' performance & motivation. Set goals for the project team, monitor progress & performance monthly and give timely feedback and support to ensure the team performs well.
- Adhere to all HR policies for project staff & consultants.
- Proactively plan for procurement to meet MoUs and contractual commitments.
- Execute procurement activities timely, as per organizational policies & protocols.
- Regulator visit to the field for effective monitoring.
- Ensure Field leasing, rent renewals and general office administration is planned & managed for safety, cost optimization & efficient project monitoring-adhere to all admin & HR policies applicable;
Program management:
- Demonstrate good governance within program delivery and financial management, ensuring that all systems and controls are in place and followed to allow accurate reporting and cost effectiveness; &
- Responsible for corrective and proactive actions that were needed as a result of the monitoring and evaluation process of the program and ensure appropriate and timely communication to the key stakeholders of the program.
- Proactively seek approvals from government, partners, any other stakeholders as applicable, to ensure timely on-ground implementation.
- Ensure timely and accurate documentations - legal and others, w.r.t project implementation activities, including but not limited to, contracts, budgets, expenses, fund utilization, manpower, administrative expenses etc.
- Ensure all legal compliances are adhered to within the project at all times including, labor compliances, taxation and other financial compliance, auditory compliances, POSH, Child protection, Code of Conduct, HR & admin policies.
- Develop a detailed operational budget for the project.
- Proactively manage budget utilization & project expenses.
- Monthly monitor and report budget utilization, project expenses internally & externally;
- Local expense management incl. approvals, staff expense approvals, management of advances & reimbursements, local procurements,
- Collaborate proactively with Finance on all statutory & donor compliances w.r.t project finances;
- Vendor management for administrative & other services as per project needs & organizational norms;
- Optimal utilization of ERP for timely & accurate project expense management, procurements, reimbursements etc.
- Support in evaluation studies.
- Support in development of evaluation methods to assess project strengths and identify areas for improvement.
- Utilize all technological tools and innovations as per organizational norms
- Develop proposals timely and partner with the Strategic Partnership team to ensure uninterrupted project funding as well as for follow-up funding;
Program Reporting & Communication:
- Create a workflow plan of the region against the approved program deliverables and monitor the program progress and its timely monthly reporting to AIF Operational team and also maintain/share the progress updates – Program Utilization/action plan for the coming months to the Regional Director & other key stakeholders.
- Plan monthly and Quarterly monitor reviews of the programs to ensure smooth progress. Directing the preparation and maintenance of reports which are necessary to track projects.
- Ensure monthly project monitoring through Smart sheets and timely updation to maintain accuracy at all times on Smart sheets for respective projects.
- Consistently provide excellent quality data and documentation that meet the quality standards of the organization;
- Share project updates and highlights from time to time including written notes & briefs, photographs & videos, presentations etc.
- Ensure success stories are documented and shared periodically for program communication through AIFT's social media handles;
- Facilitate field visit for any internal & external stakeholders incl Leadership, Board, Donors, Partners and any other.
- Support in planning & execution of events, training for the project at the ground-level.
Stakeholder Management:
- Work smartly and effectively with a range of diverse stakeholders- AIF (Internal and External). This will include management, and external stakeholders including local government officials at the state/district/block level. Authentically and meaningfully engage with a range of other local project and program partners critical to its delivery and success;
- Raise funding for expanding work in the region/states.
- Proactively engage with government bodies and relevant stakeholders for implementation success, project sustainability, scalability & replication.
- Actively foster new Government relationships and nurture existing relationships with government partners.
- Ensure timely and effective communication & active engagement (including periodic meetings) with all internal & external stakeholders to make communication easy and transparent regarding project progress, issues and related decisions;
- Coordinate a system for regular feedback from donors and partners;
- Build excellent professional relationships with our donors & partners;
Organizational ambassadorship:
- Adhere and maintain utmost levels of integrity & urgency towards all legal, statutory & organizational compliances that may be required internally or externally from time to time and as per prevalent laws and/or donor requirements.
- Work smoothly with peers and managers and receive constructive feedback well;
- Go beyond own deliverables to support others in the team or the larger organization where required;
- Maintain the highest level of respect & integrity towards the organization's policies, goals and values.
Other
- Any other work assigned by the Regional Director.
DESIRED QUALIFICATION, EXPERIENCE & SKILLS
- Language requirements: Very strong command of English & Hindi (Regional Language will be an added benefit);
- Academic qualifications : Post Graduate Degree, Program specific background preferred;
- Work experience :
- 10 to 14+ years, preferably with a mix of private and social sector experience; 5+ years' experience in either as a lead team member in a non-profit organization and/or eco-system building.
- Minimum 02 years of direct accountability as leader / manager of a project of up to 02 crores, proven successful skill set in the executing conceptual, operational strategic, and scalable project/s;
REPORTING: This position will directly report to Regional Director - South Region
TRAVEL REQUIREMENT : 60-70 % of the overall time.
