The HR Operations Executive is a key member of the HR team responsible for managing and executing a wide range of HR operational activities
- This role focuses on ensuring efficient HR processes, optimizing systems and tools, managing employee data, and providing excellent service to both internal and external stakeholders
Key Responsibilities:
Knowledge of labor laws and compliance regulations. HRIS Management:
- Manage and maintain the HRIS (Human Resources Information System) and other HR databases.
- Ensure data integrity and accuracy by regularly auditing and updating employee information.
- Provide system training and support to HR staff and employees.
Employee Data Management:
- Handle employee data administration, including new hires, terminations, transfers, promotions, and employee records management.
- Ensure compliance with data privacy and protection regulations.
- Generate HR reports and analytics as needed.
HR Process Efficiency:
- Continuously assess and improve HR processes and workflows for efficiency and effectiveness.
- Streamline and automate HR processes to reduce manual efforts and enhance user experience.
- Implement standard operating procedures (SOPs) and guidelines to ensure consistency and compliance.
Employee Benefits Administration:
- Administer employee benefits programs, including enrollment, changes, and terminations.
- Serve as a point of contact for employees' benefit inquiries and provide guidance on available options.
- Collaborate with benefits providers to resolve issues and ensure smooth administration.
Payroll Coordination:
- Collaborate with the finance department to ensure accurate and timely payroll processing.
- Validate payroll inputs, reconcile discrepancies, and handle payroll-related inquiries.
- Maintain up-to-date knowledge of relevant payroll regulations and compliance requirements.
HR Policies and Compliance:
- Assist in the development, communication, and implementation of HR policies, procedures, and guidelines.
- Ensure compliance with local labor laws and regulations.
- Conduct audits and internal reviews to identify and address compliance gaps.
Employee Relations Support:
- Provide support in handling employee inquiries, concerns, and grievances.
- Assist with employee relations activities, including investigations, disciplinary actions, and conflict resolution.
Employee Engagement and Retention:
- Assist in implementing employee engagement initiatives, such as surveys, focus groups, and recognition programs.
- Collaborate with cross-functional teams to create a positive work culture that fosters employee well-being and motivation.
- Support the analysis of engagement data and provide recommendations for enhancing employee experience.
- Maintain documentation related to employee relations matters.
HR Projects and Initiatives:
- Participate in HR projects and initiatives, such as system implementations, process improvements, and policy rollouts.
- Collaborate with cross-functional teams to drive project milestones and deliverables.
- Contribute to change management efforts related to HR initiatives.
Requirements:
1) Bachelor's degree in Human Resources, Business Administration, or a related field.
2) 4-5 years of experience in HR operations, HR administration, or a similar role.
3) Strong knowledge of HR processes, systems, and best practices.
4) Proficiency in HRIS and other HR technology platforms.
5) Familiarity with payroll systems and processes.
6) Excellent attention to detail and data accuracy.
7) Strong analytical and problem-solving skills.
8) Effective communication and interpersonal skills.
9) Ability to handle confidential information with discretion.
10) Strong organizational and time management abilities.
