Job description
An Admin Executive is the point of contact for all employees, providing administrative support and managing their queries. The key functions of this position are to manage office stock, prepare regular reports, keep all track of office equipment, manage housekeeping staff and ensure seamless operations of the same.
Responsibilities:
- Manage office supplies stock and place orders
- Liaise with Security Agency to fulfil the organizations security personnel needs.
- Coordination with building facility management to provide seamless access to vendors/clients/visitors.
- Manage the active database of contacts with relations managers of all telecom service providers
- Create and maintain a list of all Sim Cards procured and assigned to the team.
- Update and maintain daily expenses records in the stipulated format.
- Book meeting rooms as required.
- Ensure vendor invoices are checked on all parameters at the time of receipt. Coordinate with vendors in case of any discrepancies.
- Manage and maintain all the official documents, inward entry for invoices from vendors and service providers.
- Owing to the diverse and dynamic nature of this role, be available and ready to support teams on any urgent, impromptu requests like preparing for a lockdown, arranging events, procuring items on an urgent basis, arranging transport etc.
Candidate Requirement:
- Proven work experience as an Administrative Officer, Administrator or similar role.
- Strong organization skills with a problem-solving attitude
- Excellent written and verbal communication skills
- Organizational and time-management skills
- Experience with office management software like MS Office (MS Excel and MS Word, specifically)
- Graduation Required, Degree in Management or training in Office Administration is a plus.
