Managing the calendar, scheduling meetings while mostly working in European timezone
Travel arrangements including Visa, hotel, and expenses.
Monitoring and handling of certain categories of emails such as assisting requestors with relevant point of contact, approvals heads-up etc.
Assist in organizing and coordinating department meetings, conferences, and special events.
Perform general administrative tasks such as filing, photocopying, data entry for the team etc. as required.
Coordinate with vendors as necessary such as while planning events, organizing team presents etc., create purchase requests (PR) in ERP system and ensure invoice is paid.
Active participation in employee engagement initiatives as a member or a lead.
Less frequent and ad-hoc
Approve certain type of operations requests as a delegate to the department head.
Support with internal communication in liaison with communications department
Prepare and edit presentations and reports as requested on a need basis.
Provide ad-hoc support to teams within the department when necessary.
Participate in local site level initiatives as a member of one or the other focus groups such as DE&I etc.
Who you are:
Bachelor's degree holder
8 or more years of Industry experience. Relevant 2 -3 years as an Executive Assistant.
Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Excellent communication and interpersonal skills, both written and verbal.
Exceptional organizational and time-management skills, with the ability to multitask and prioritize effectively.
Passionate, comfortable with chaos and willing to work in European Time Zone, also flexible with working time if situation demands.
Exposure to IT organization in the past is an added advantage.
