Job Title: Executive Assistant and Office Coordinator

Role:

We are in search of an enthusiastic Office Coordinator cum Executive Assistant (E.A.) to join us. As

our Office Coordinator, you will serve as the welcoming face of our organization and play a

pivotal role in our day-to-day operations. As an EA you will provide high-level administrative

support to our Executive Leadership. In your role you will handle diverse administrative, logistical,

and project-related tasks. The ideal candidate will be a seasoned professional with 4-5 years of

experience working as an Executive Assistant or in a similar position assisting top leadership.

Requirements:

Key Responsibilities:

● Be the first point of contact for visitors, clients, and partners, embodying OppDoor's

professionalism and values.

● Liaise with facility management vendors for smooth office operations, handling tasks such

as property and equipment repairs and inventory management.

● Identify and recommend changes to enhance the efficiency and quality of administrative

services.

● In addition to the general administrative work, as an EA, you will also be in charge of

dynamic calendar management and scheduling meetings across multiple time zones.

● Coordinate domestic and international travel, visas, accommodation and process expense

reports.

● Schedule meetings and take MOMs.

● Schedule meetings, take minutes, maintain data, and produce reports or presentations.

● Coordinate logistics for team offsites, dinners, conferences, hiring events, or other special

events (both onsite & offsite).

● Field and funnel incoming requests; exercise strong judgement and discretion where

needed.

● Work cross-functionally to ensure communication is efficient and clear between teams.

● Meet deadlines in a fast-paced environment through organized prioritization of tasks.

Skill Set:

● A bachelor's degree in Business Administration or a related field is preferred.

● An energetic professional with a pleasing personality and assertiveness. Someone who

doesn't mind wearing multiple hats.

● Exceptional communication (written and spoken) & interpersonal skills to effectively interact

with a wide range of stakeholders

● Strong organizational skills and attention to detail.

● Ability to be discrete and work appropriately with confidential and sensitive information

● Proven ability to work under pressure, delegate when necessary, and adapt to change.

● High level of resilience to deal with change and ambiguity and flexibility to support (when

needed) during out-of-office hours.

● Ability to work independently, anticipate executive needs, and be tech-savvy.

● Proficient with Google Workspace/Docs and Microsoft Office Suite, quick learner of tech
