We are seeking a highly organized and proactive Executive Assistant to provide comprehensive administrative support to our executive team. The ideal candidate will be adept at managing multiple tasks simultaneously, possess exceptional communication skills, and exhibit a high level of professionalism and discretion in handling confidential information.

Responsibilities :

Calendar Management: Coordinate and manage executive calendars, including scheduling appointments, meetings, and conference calls, while prioritizing conflicting requests and ensuring efficient use of time. Travel Arrangements: Make travel arrangements, including booking flights, accommodations, and transportation for executives, ensuring cost-effectiveness and adherence to company travel policies. Communication Management: Serve as the primary point of contact for internal and external communications for the executive team, including screening and prioritizing phone calls, emails, and other correspondence. Meeting Coordination: Prepare meeting agendas, materials, and presentations, and coordinate logistics for meetings, conferences, and special events attended or hosted by executives. Document Preparation: Draft, edit, and proofread documents, presentations, and reports as requested by executives, ensuring accuracy, clarity, and adherence to company standards. Information Management: Maintain organized filing systems and databases, both electronic and hard copy, to ensure easy retrieval of documents and information as needed. Expense Management: Track, reconcile, and process expense reports and invoices for executives, ensuring timely submission and compliance with company policies. Special Projects: Assist with special projects and initiatives as assigned by executives, which may include conducting research, preparing summaries, and coordinating cross-functional teams. Relationship Management: Build and maintain positive working relationships with internal stakeholders, external partners, and clients on behalf of the executive team.

Qualifications Bachelor's degree or equivalent experience Proficient in Microsoft Office suite Experience in managing multiple priorities, administrative coordination, and logistics Well-organized, detail-oriented, ability to multi-task with great follow-up skills Strong written and verbal communication skills Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines in a fast-paced environment. Experience in project management and coordination is a plus. Knowledge of travel booking platforms and expense management systems is desirable.
