Position Summary

Bechtel Talent Acquisition is seeking an experienced professional to join the team in a role that will facilitate the delivery of our global Agency staffing. This role will be a key part of meeting the TA Organizations commitment to providing the Right Talent in the Right Time.

The role will leverage the Fieldglass Vendor Management Tool for global agency needs and coordinate with Regional TA Managers outside of the US on their respective Agency programs. The ideal candidate will assist the Agency PMO team with the daily processing of agency actions, providing customer service and look for areas of continuous improvement.

Responsibilities

  • Leverage Fieldglass for agency actions globally. Coordinate with Regional Managers on Agency hires.
  • Create job posting templates, create and/or assist hiring managers with the creation of job postings.
  • Familiar with job classifications and job keys required to create job posting templates.
  • Create/Review work orders for data accuracy, ensure rates are calculated correctly according to Temporary Staffing Agreement terms.
  • Process work order revisions for assignment updates, pay increases, etc.
  • Ensure activity items associated with the work orders are completed in compliance with policy and checked off for the worker to be confirmed and activated.
  • Create Fieldglass user proxy request, follow it though and grant the proper proxy access to the requested managers/employees requested. Work with SAP security as needed.
  • Assist with scheduling interviews for hiring managers, coordinate outlook calendar, and communication to staffing agencies. Ensuring clear detailed communication, following up with agency and ensuring interviews are scheduled in the proper time zone.
  • Reviews the processing of personnel requests or actions to ensure conformance to policy.
  • Reviews and maintains job posting templates for accuracy and rate card accuracy.
  • Obtain first day reporting instructions and provide to staffing agency/ensure project has required staffing/contract information to send reporting instructions to the candidate.
  • Obtain requested information from agency for project to begin the badging paperwork.
  • Expense report review, training, policy compliance.
  • Provides information or data for the development of a personnel program, policy, or procedure.
  • Monitors existing personnel and ensure assignment extensions are processed as needed in compliance with policy.
  • Submits correction request when required.
  • Process release notifications, provide notice to staffing agencies, deactivate work order according to process.
  • Coordinate with TA for Agency to Bechtel conversions.
  • Coordinate with subcontracts team/account sponsor for contractor to agency conversions.
  • Works with the Agency PMO team in XCORE3 to create test cases for various Fieldglass items.
  • Collects, assembles, and analyses data or information for personnel reports.
  • Account Reconciliations for various time and per diem requirements.
  • Uses working knowledge of Fieldglass Vendor Management Software to troubleshoot issues or works with support team to resolve any issues or system configuration required.
  • Maintains the Agency PMO mailbox(s) communications & actions within our SLA agreement.
  • Assists in training of team in the standards and practices within the Agency PMO office.
  • Creates and maintains electronic records and fields (e.g. customer numbers, cost center numbers) in support of the requisition entry set up.
  • Assist with supplier onboarding, Fieldglass vendor setup and system configuration once the suppliers are onboarded.
  • Assist with contract processing, negotiations, contract extensions.
  • Participates in special projects and performs other duties as assigned.

Basic Qualifications

  • Bachelor's degree in HR/Finance or related field. In lieu of degree position requires minimum two (2) years work experience in a HR Processing/Administrative role and two (2) to eight (8) years' experiences in a payroll processing or finance role.
  • Experience and familiarity with payroll processing in SAP, Oracle, or other ERP systems.
  • Experience in contracts/subcontracts.
  • Familiar with relocation policies, assignment conditions & government GSA requirements a must.
  • Proficient with Microsoft Office products, including Word, Excel, PowerPoint, and Outlook.
  • Proven ability to work in a high volume fast paced and dynamic environment.
  • Ability to establish and maintain effective working relationships (Strong Customer Service Skills).

Additional Qualifications

  • Knowledge of Bechtel's organizational structure, personnel policies, and procedures Skilled in communicating effectively verbally and in writing.
  • Familiarity with SAP HR Processing, HR Policies, Pre-employment Processing, Processes, Payroll Policies, HRIS.
