The Role: Executive Assistant / Office Assistant As an Executive Assistant at Sheffield Haworth, you will be responsible for managing the schedules as well as communications of the Key Executive of the practice and consultants. Part of an EA’s role is having a high level of discretion, assisting the team with all their administrative needs in addition to working with the wider operations team to assist in supporting the smooth running of the office. The role is to ensure the smooth running of the office and to assist the group support team with other ad hoc office administrative tasks.

Key responsibilities General administration support according to the needs of the desk Diary management-Scheduling client and candidate meetings Planning, coordinating, and ensuring that the consultant’s calendar is followed and respected-provide "gatekeeper" and "gateway" role with both internal & external stakeholders Working closely and effectively with the consultants to keep them well informed of upcoming commitments and responsibilities, following up appropriately Organizing company’s meetings and events Prepare Minutes of meetings, preparing client material and candidate profiles, collating, and presenting team data and market information Assisting with research reports and updating information on our systems Maintaining the Company Database Dealing with initial IT enquires and needs before directing queries to the IT helpdesk IT and stationary management Coordinating with finance team, expense recording and management Facility Management Stakeholder Management – internal and external

Skills and Attributes Experience:

4-6 years of relevant experience preferably in Executive Search Industry A proven track record in a team assistant, executive assistant, or administrative coordinator role Outstanding organizational and time management skills A natural decision-maker, with an ability to think under pressure and display good judgement Strong organizational, project management and problem-solving skills with impeccable multi-tasking abilities Ability to archive and assimilate information quickly Excellent IT skills, including advanced knowledge of Word, Excel, Outlook and Power Point, with an ability to become familiar with firm-specific programs and software's Strong attention to detail Well organized with a calm, unflappable temperament High energy and work ethic, team player Part of the wider support team performing ad hoc tasks and formatting of documentation Database skills and accurate touch typing
