Job Title: Front Desk Executive

Job Summary:
We are seeking a highly organized, customer-oriented, and proactive individual to join our team as a Front Desk Executive. The successful candidate will be responsible for managing the reception area, greeting visitors, and providing administrative support to ensure a smooth and efficient operation.

Key Responsibilities:

  • Serve as the first point of contact for all visitors, clients, and staff members, ensuring a warm and professional welcome.
  • Maintain a clean and organized reception area, including managing incoming and outgoing mail, packages, and other deliveries.
  • Manage incoming and outgoing phone calls, directing them to the appropriate personnel, and providing general information when needed.
  • Schedule appointments, manage meeting room bookings, and coordinate with other departments to ensure smooth event planning and execution.
  • Assist in maintaining accurate records of visitors, call logs, and other relevant data.
  • Perform basic administrative tasks such as photocopying, scanning, and faxing as required.
  • Ensure office supplies are well-stocked and report any supply shortages to the relevant department.
  • Handle basic accounting tasks, such as receiving payments, issuing receipts, and updating financial records.
  • Maintain a professional demeanor and act as a brand ambassador by promoting a positive image of the organization.
  • Perform other duties as assigned by the management team.


Qualifications and Skills:

  • High school diploma or equivalent; a college degree in a relevant field is preferred.
  • At least 1-2 years of experience in a similar front desk or administrative role.
  • Excellent communication and interpersonal skills, with the ability to communicate effectively with people from diverse backgrounds.
  • Strong organizational skills and attention to detail.
  • Proficiency in Microsoft Office Suite, particularly in word processing and spreadsheet applications.
  • Familiarity with customer relationship management (CRM) software is a plus.
  • A friendly, approachable, and professional demeanor.
  • Ability to work independently and as part of a team, with a strong sense of responsibility and accountability.
  • Flexibility to work during varying shifts, including weekends and holidays when required.
