Job description

Job Profile :

Along with ensuring accuracy and adherence to the company standards at all times the major Job Responsibilities for the position include:

Communication :

Serve as the primary point of contact between the CEO and internal/external stakeholders while keeping up with the relevant and urgent correspondences through different mediums within and outside the company.

Handle incoming calls emails and messages ensuring timely responses and appropriate prioritization.

Streamline communication channels to enhance the efficiency of information flow to and from the CEO.

Implement tools or processes to manage emails and messages effectively.

Calendar Management with Optimisation & Meeting Support:

Implement strategies to optimize the CEOs time for strategic initiatives.

Coordinate organise and manage the CEOs schedule including appointments meetings conferences events and travel arrangements.

Anticipate scheduling conflicts and proactively address them with necessary edits/updates.

Prepare meeting agendas take down minutes and prepare official correspondences and follow up on action items.

Document Preparation:

Prepare and edit correspondence reports presentations and other documents on behalf of the CEO.

Maintain a high level of accuracy in preparing documents reports and presentations.

Format important information for proper communication while maintaining the standard system of File Management.

Travel Arrangements & Logistics:

Plan the CEO s travel arrangements including flight bookings hotel accommodations and transportation to ensure a seamless and stressfree experience.

Create detailed itineraries for the trips and provide necessary travel documents.

Confidentiality:

Handle sensitive and confidential information with discretion and professionalism.

Monitor and report on adherence to confidentiality policies.

Task Prioritization:

Prioritize and manage multiple tasks simultaneously ensuring deadline compliances.

Develop and implement systems for task prioritization to ensure that critical tasks are addressed promptly.

Track and report on time management metrics such as response times and task completion rates.

Meeting Effectiveness:

Improve the effectiveness of meetings by ensuring wellprepared agendas timely distribution of materials and prompt followup on action items.

Measure and report on key metrics related to meeting efficiency.

Identify opportunities for process improvement in administrative tasks and implement changes to enhance efficiency.

Stakeholder Relationship Management:

Build and maintain positive relationships with internal and external stakeholders on behalf of the CEO.

Measure and report on stakeholder satisfaction.

Monitor and report on the success of implemented process improvements.
