Job description

RAIN is seeking a Manager - Vessel Operations and Post Fixture to join its Global Shared Services Department.

Rain Industries is in the business of manufacturing Advanced Materials, Carbon Products and Cements with facilities in North America, Europe and India. Marine transportation plays a crucial role in the Rain Supply Chain to meet both the needs of customers and suppliers to/from its manufacturing facilities on a global basis.

This position is for Vessel Operations and Post-Fixture Manager. Rain charters vessels to lift Raw Materials and deliver Finished Goods particularly with Handy and Supramax. Rain is looking for a passionate individual for this shipping role who can work successfully in a multi-cultural environment.

Purpose – Addressing any/all Rain Chartered vessels as well as FOB sales for our manufacturing set-ups b/w India and USA. Ownership of all post fixture activities on the vessels in close co-ordination with owners/brokers. Work with suppliers, customers and terminals to finalize the calculation to stay current and calculate all laytime calculation to defend/contest our laytime positions.

Position Demands – Requirements include experience with dry bulk cargoes, loading/discharging operations and laytime calculation regulations and best practices. Ability to read and interpret vessel fixtures and charter parties for preparation of nominations if any.

Working Relationship – This position reports directly to the Chartering Manager and VP, Logistics, Carbon Calcination, and will work closely with all personnel throughout the organization, especially those in logistics, purchasing, sales, production control, and accounting. Additionally, this position must work with third party vendors, particularly vessel master and owners, port agents, and chartering personnel.

Role and Responsibilities

Post-fixture Accountabilities Prepare and forward to accounting & risk management vessel cost sheets for billing out ocean freight. Obtain out-going freight invoices from logistics and insurance calculations and/or certificates from Risk Management. Track B/L’s in order to ensure they arrive at discharge port in time for vessel’s arrival. Issue LOI’s to vessel owners in the event the BL’s will not be available to master upon his arrival at disport. Work with logistics on documentation / B/L issues when necessary. Prepare and maintain documentation file for all ships. Forward all required documents to receivers and disport agents for customs clearance of the vessels. Maintain the departmental financial vessel-costing schedule for all chartered ships. Charter party review and approval. Maintain charter party checklist. Maintain the departmental port files. Process/prepare/issue any data that may be required by the new SAP business system. Detailed Overview 1.Voyage Charter Operations - Chase and check Owners for laytime calculation. Counter recovery with Buyer/Seller for any laytime position. Check all invoices for correct freight/laytime, and any prior balances paid. Processing freight invoice/s as per Rain’s standard process and format. Prepare consolidated cost sheet for internal circulation. 2.Time Charter Operations - Understanding of Off-hire clauses and identification of off-hire time during voyage as well as at port. Bunker Specs, procurement and delivery. Addressing delivery and re-delivery certificates to calculate bunkers Tracking of events especially when the hires are due. Estimate and finalize hire payable. Prepare consolidated cost sheet for internal circulation. Appointing a weather routing company, and analyze the post voyage performance report if the vessel has underperformed. Laytime & Marine Accounting Review supplier and customer contracts to ensure all shipping terms and laytime conditions are stated within. Compile all supporting documentation and essential criteria in order to prepare the laytime calculations for each ship at each port. Prepare laytime calculations for all time and voyage chartered ship for suppliers at load ports and customers at discharge ports. Negotiate with suppliers and customers to resolve any disagreements/discrepancies within the calculation in order to come to a mutual acceptance of the final settlement. Negotiate with vessel owners on voyage-chartered ships to resolve any disagreements/discrepancies within the calculation in order to come to a mutual acceptance of the final settlement. Advise accounting to issue invoices and/or credit memos to suppliers, customers and/or vessel owners for demurrage and/or dispatch. Will also provide the applicable account coding. Maintain the laytime schedule to keep track of all completed and outstanding settlements. Nominations Nominate vessels to suppliers, customers and load/disport terminals for CIF sales. Follow up promptly with supplier, customers, and terminals for acceptances to the nomination and advise chartering personnel accordingly. Upon final fixing of the ship, communicate to sales, purchasing and logistics personnel that ship has been final fixed and forward the current ETA at 1st load port. Update suppliers, receivers and internal company personnel on all vessel ETAs, ETBs & ETCs daily, weekly and/or as required. Enter the vessel information into the laytime status schedule. Data-Analytics Overseeing and assisting internal Data-Analytics team with all vessel related KPI’s Ensure shipping data reflected in the dashboards.

Required Technical and Professional Expertise Min. 5 years relevant experience

Preferred Qualifications Pass Out from either Indian Maritime University Or University of Petroleum Energy & Science Or Narottam Morarji Institute of Shipping Or Relevant experience in this Sector.
