ACER India is seeking to hire a

Reception Officer

to provide reception, administration and project support to the ACER India office at New Delhi.

This is a contract position for 1 year, with the possibility of extension to 1.5 years.

Position Accountabilities

Reception Receive, direct and relay visitors to the ACER India New Delhi office appropriately Monitor visitor access and maintain security awareness Receive, direct and relay telephone messages and fax messages to appropriate recipients Deal with all enquiries in a professional and courteous manner, in person, on the telephone or via e-mail Pick up and deliver mail; maintain general filing system and file all correspondence as required

Project support providing and arranging administrative support for projects making arrangements for meetings of project steering and reference committees regarding accommodation, travel, catering and reimbursement of participants’ expenses assisting project staff as requested regarding invoices, payments (such as expense claims, honoraria/consultancy forms), photocopying, faxes, mail-outs of letters, contact with schools or other agencies editing and formatting final project reports and supporting documentation ensuring project documents are properly archived

Travel Support travel bookings through travel agent, under the supervision of Manager Administration. Office Vehicle Management for pick up and drop for official meetings, airport transfer, etc

Administrative Maintain suitable inventory of office stationery Taking care of photocopies, scan, reports spiral binding, hotels & guest house bookings Be responsible for evacuation, in cases of emergency, acting as first point of contact for guests and the emergency services Organize conference and meeting room bookings Adhere to all company policies and procedures Carry out instructions given by the management team

Decision Making Authority

The Reception Officer will manage her own workflow and set priorities under the direction of the Manager, Administration. The incumbent is required to operate in a proactive and autonomous manner with respect to the day-to-day carriage of the role and management of workflow.

Qualifications

Bachelor’s Degree from a recognised university

Knowledge, Skills and Attributes

Demonstrated administrative and project support skills and experience in a professional work environment Computer literacy including proficiency with MS Office (Word, Excel, PowerPoint) and office equipment such as faxes, photocopiers, etc. Excellent communication and interpersonal skills, including proficiency in verbal and written English Strong customer service focus Experience in an education environment is an advantage, as is experience in the arrangement of conferences and workshops
