About the Role:

As a Team Assistant, you will be responsible for performing various administrative tasks to assist the executive team and facilitate the overall workflow. Your role will involve managing schedules, coordinating meetings, handling correspondence, and providing general office support. You will need to demonstrate exceptional attention to detail, professionalism, and the ability to handle sensitive and confidential information with discretion. The role is pivotal in ensuring efficient operations, effective communication, and successful coordination within the team.

Context:

Looking for a candidate who will play a crucial role in supporting the smooth functioning of our organization. You will be the point of contact for various internal and external stakeholders, providing administrative assistance, managing communication, and ensuring the efficient operation of our office. Your organizational and communication skills will be vital in maintaining a productive and professional environment.

Key Responsibilities:

Managing Communication: Responding to emails, phone calls, and other inquiries, and directing them to the appropriate person or department. You will also draft and prepare official letters, memos, and other documents.

Scheduling and Coordination: Organizing and maintaining the executive team's calendar, scheduling meetings, appointments, and events. Coordinating with team members to ensure smooth communication and timely execution of tasks.

Administrative Support: Assisting with various administrative tasks, including filing documents, data entry, and maintaining office supplies and equipment.

Meeting Support: Preparing meeting agendas, taking minutes, and distributing them to relevant participants. Ensuring meeting rooms are set up and ready for use.

Travel Arrangements: Making travel arrangements for executives and other staff members, including booking flights, hotels, and transportation.

Confidentiality: Handling sensitive and confidential information with the utmost discretion and professionalism.

Collaborative Support: Assisting other departments and team members as needed to ensure the overall efficiency of the organization.
