Job description
Roles and responsibilities:
- Serve as the point person for office manager duties including:
- Maintenance
- Mailing
- Supplies
- Equipment
- Bills
- Errands
- Shopping
- Schedule meetings and appointments
- Supports company operations by maintaining office systems and supervising staff.
- Maintains office services by organizing office operations and procedures, controlling correspondence, designing filing systems, reviewing and approving supply requisitions, and assigning and monitoring clerical functions.
- Completes operational requirements by scheduling and assigning employees; following up on work results.
- Keeps management informed by reviewing and analyzing special reports; summarizing information; identifying trends.
- Maintains office staff by orienting, and training employees.
- Maintains office staff job results by coaching, counseling, and disciplining employees, and planning, monitoring, and appraising job results.
- Contributes to team effort by accomplishing related results as needed.
- Partner with HR to update and maintain office policies as necessary, Assist in the onboarding process for new hires
- Coordinate with IT department on all office equipment
- Manage contract and price negotiations with office vendors, service providers.
Requirements and skills
- Proven experience as an Office Manager, Front Office Manager or Administrative Assistant
- Knowledge of Office Administrator responsibilities, systems and procedures
- Experience in managing different vendors, negotiating and finalizing contracts.
- Proficiency in MS Office (MS Excel and MS Outlook, in particular)
- Hands on experience with office machines (e.g. fax machines and printers)
- Familiarity with email scheduling tools, like Email Scheduler and Boomerang
- Excellent time management skills and ability to multitask and prioritize work
- Attention to detail and problem solving skills
- Excellent written and verbal communication skills
- Strong organizational and planning skills in a fast-paced environment
- A creative mind with an ability to suggest improvementsHigh School degree; additional qualification as an Administrative assistant or Secretary will be a plus
Reporting to
Candidates residing in Bangalore are preferred.
Experience : 3-5 years
Annual CTC: Up to INR 5,50,000 per Annum
