  • This position is responsible to support the India Country Director in the day to day administrative works and schedules. The role also requires working with the cross functional leaders of the business for the purpose of collating information, progress of actions and setting up of the agenda and discussion points for the leadership meetings. The scope of work extends to maintenance of the Office premises including housekeeping. This position also entails the individual to ensure that the instructions / directions issued by the Director is processed through the established processes and systems by engaging with the right stakeholders in the business
  • List the main functions of the role, being clear and concise (avoid using abbreviations, use short sentences, stress what is unique, emphasize what makes your job and organization special). If this is a re-evaluation of an existing role, highlight the job responsibilities that are new to the role.
  • Acting as a first point of contact: dealing with correspondence and phone calls.
  • Managing diaries and organizing meetings and appointments, often controlling access to the Director's Schedule.
  • Booking and arranging travel, transport and accommodation for Director & Functional Leaders
  • Collating and filing expenses for Director.
  • Miscellaneous tasks to support the Director, eg completing some corporate governance reporting (to ensure that the business is being run properly and complying with legislation and regulations) or conducting research.
  • Working with the cross functional leaders in following through with action points
  • Maintaining the Management Operating System Tracker and such other project charters of the Director

Qualifications

  • Full time graduate degree from an accredited institution.
  • 12-15 years of experience in the role of Executive Assistant to a Country Director / General Manager / Senior Management Leader of a business. Experience in MNC will be preferred.

  • Proficient in microsoft office tools (eg Excel, Power BI, Word, Powerpoint)
  • Discretion and trustworthiness: Will often be part of confidential information.
  • Flexibility and adaptability.
  • Good oral, written communication skills.
  • Organizational skills and the ability to multitask
  • The ability to be proactive and take the initiative
  • Tact and diplomacy
  • Communication skills
  • Pleasant personality.
  • A knowledge of standard software packages and the ability to learn company-specific software if required
