Job description

Role: Executive Assistant (will report to CEO)

Engineer/ MBA candidates preferred

We are seeking a highly organized and proactive individual to join our team as an Executive Assistant. As an integral part of our organization, you will play a crucial role in supporting the entrepreneur in various day-to-day tasks, ensuring the smooth functioning of operations, and enabling the entrepreneur to focus on strategic initiatives. Your responsibilities will include managing communications, scheduling, and assisting in various administrative and strategic tasks.

Skills And Competencies

Email Management: Monitor and prioritize the entrepreneur's email inbox, responding to routine inquiries and flagging important messages for immediate attention.

LinkedIn and Social Media: Assist in maintaining the entrepreneur's LinkedIn presence by creating and posting engaging content and managing connections.

Meeting Minutes (MOM): Take accurate meeting minutes during important discussions, ensuring comprehensive documentation of key decisions, action items, and follow-ups.

Follow-up Management: Proactively follow up on pending tasks, commitments, and projects on behalf of the entrepreneur, ensuring deadlines are met and progress is tracked.

Appointment and Calendar Management: Efficiently manage the entrepreneur's calendar, scheduling appointments, meetings, and events, considering priorities and optimizing time management.

Shadowing and Observing: Actively shadow the entrepreneur during meetings, conferences, and strategic discussions, gaining insights into business operations and decision-making processes.

Travel Arrangements: Assist in organizing travel arrangements, including booking flights, accommodation, and other logistics as required.

Administrative Support: Provide general administrative support such as data entry, document preparation, and handling routine paperwork.

Responsibilities

Organizational Skills: Exceptional organizational abilities to manage multiple tasks, appointments, and priorities effectively.

Communication Skills: Strong written and verbal communication skills to handle emails, compose social media posts, and take accurate meeting minutes.

Social Media Proficiency: Familiarity with LinkedIn and other social media platforms, with the ability to create engaging content and manage online connections.

Attention to Detail: Meticulous attention to detail to ensure accuracy in scheduling, documentation, and follow-up tasks.

Time Management: Excellent time management skills to optimize the entrepreneur's schedule and ensure all tasks are completed efficiently.

Discretion and Confidentiality: Demonstrated ability to handle sensitive information with the utmost confidentiality and professionalism.

Adaptability: The capability to adapt to changing priorities and thrive in a dynamic entrepreneurial environment.

Tech-Savviness: Comfortable with technology and various productivity tools, such as calendar apps, project management software, and Microsoft Office suite.
