Job Description:
The person would work closely with the CEO to organize better with a goal orientation. Provide comprehensive support to the CEO in daily schedule management.
Role and responsibilities:
Meeting management:
- Manage Meetings with internal leads (Daily: SoS /Weekly/ Monthly/ Quarterly)
- Scheduling internal meetings on behalf of the CEO and informing everyone.
- Ensuring all the preparation has happened before the meeting.
- Recording the minutes of the meeting with a clear emphasis on the key action points from the meeting.
- Maintaining the database to ensure all documentation is captured and organized for ease of access.
Meeting Updates:
- Compile current meeting agenda
- Update notes on previous meeting conclusion/actionable
- Collate and coordinate inputs for any agenda item
- Tracking of progress on critical projects
Calendar Management :
- Manage calendar of external commitments
- Provide assistance in managing editorial deadlines for our publications; such as being in know what cover stories are, deadline reminders for ideas and columns.
- Reminding about TV talk shows participation & meetings aligned for the week.
- Coordination with external references as and when entrusted through email & over the phone.
- Maintain Calendar of all thinking assignments.
Administrative support:
- Providing administrative support as and when required: taking care of the visitors coming to meet the CEO.
- Aid in preparing for the meetings, arranging lunch, and refreshments.
Travel coordination:
- Organizing travel and hotel bookings for the CEO
- Keep track of traveling plans and arrangements
Requirements
Knowledge and skills requirements :
The role requires someone who can manage several concurrent activities, with strong multi-tasking, prioritization, organizational, and time management skills.
- Minimum education - Graduate in any stream
- Excellent verbal and written communication skills
- Maintaining confidentiality of important information and exercising discretion
- Being proactive, well organized, and must be able to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
- Confidence and maturity in dealing with people and build rapport
- Trustworthy; able to maintain confidentiality and discretion
- Tech-savvy, able to use various softwares effectively
- Great follow-up skills to get things done
- Able to anticipate needs and requests and keep solutions ready; adaptable and able to react with appropriate levels of urgency and flexibility to situations.
