The executive assistant plays a crucial role in supporting and ensuring the smooth functioning of the associated office. This position primarily entails managing schedules, coordinating meetings, felicitating communication, handling confidential information, organizing documents, and providing administrative support. KEY ACCOUNTABILITIES & RESPONSIBILITIES: Schedule and coordinate appointments, meetings and events for the Office . Manage and prioritize calendars including complex scheduling and calendar management as well as content and flow of information to target group Provide administrative and office support such as typing, dictation, spreadsheet creation, maintenance of relevant files and contact database Organize team communication and plan events, meetings, conferences, travel arrangements Prepare meeting agenda, documents and follow-up on actionable pointers and liaison between internal and external stakeholders Keep stakeholders informed on key issues and upcoming commitments Maintain professionalism and strict confidentiality Process and reconcile expense reports in a timely and proactive manner Update MIS on regular basis and frequently follow-up on the same Delegations: Accept any other related delegations and responsibilities as entrusted by the office. INTERNAL & EXTERNAL RELATIONSHIP: Working under the Director Relevant stakeholders. CANDIDATE REQUIREMENT: A bachelor’s degree or equivalent Proven experience as an executive assistant in administrative role Strong organizational and multi-tasking skills Excellent written and verbal communication Proficient in MS Office and related software Exceptional attention to detail and accuracy Professionalism and strong work ethicJob tags
