Executive Assistant to Managing Director
Location: Chakan, TAL-KHED, Pune, Maharashtra
Reporting to: Managing Director
About the Role:
We're looking for a bright, organized, and proactive individual to join our team as the Executive Assistant to the Managing Director. This is a pivotal role, playing a key part in supporting the MD and ensuring the smooth running of their office.
Responsibilities:
- Executive Administrative Support:
- Manage the MD's calendar and schedule appointments, meetings, and travel arrangements.
- Proactively anticipate and address the MD's needs and requests.
- Prepare and coordinate meetings, including agendas and minutes.
- Handle email and phone communication efficiently and professionally.
- Manage and track documents and files.
- Organize and maintain the MD's office space.
- Expense Management:
- Process and track the MD's expense reports accurately and efficiently.
- Ensure adherence to company policies and procedures for expense reimbursement.
- Communicate with relevant departments regarding expense-related queries.
- Additional Tasks:
- Provide administrative support to other senior executives as needed.
- Research and gather information on assigned tasks.
- Prepare presentations and reports.
- Manage travel arrangements for the MD and other executives.
- Maintain a positive and professional demeanor in all interactions.
Qualifications:
- Minimum 3 years of experience in an executive administrative assistant role or equivalent.
- Proven ability to manage multiple priorities and deadlines effectively.
- Excellent organizational and time management skills.
- Strong communication and interpersonal skills, both written and verbal.
- Proficiency in MS Office Suite and Google Suite applications.
- Highly detail-oriented with a meticulous approach to work.
- Bachelor's degree or equivalent experience in a related field (Mechanical or industrial or production engineering preferred).
- Strong email communication skills and expert in Excel.
- Experience in the construction industry is a plus.
