Role Description
- This is a full-time on-site role for a Personal Assistant. The Personal Assistant will be responsible for day-to-day tasks such as executive administrative assistance, communication, diary management, and clerical skills.
- Acting as a first point of contact for callers, dealing with emails and phone calls by responding, passing on messages or highlighting them for their Director's attention.
- Reminding the director of important tasks and deadlines
- Screening and directing phone calls and distribute correspondence, Handling requests and queries appropriately.
- Act as the point of contact between the director and internal/external clients, liaising with staff, suppliers and clients.
- Manage diary and schedule meetings and appointments of the Director.
- Make travel arrangements, collating and filing expenses, produce reports, presentations and briefs
- Devise and maintain office filing system
- Managing diaries and organising meetings and appointments, often controlling access to the manager/executive
- Booking and arranging travel, transport and accommodation organising events and conferences.
- Reminding the manager/executive of important tasks and deadlines
- Typing, compiling and preparing reports, presentations and correspondence managing databases and filing systems
- implementing and maintaining procedures/administrative systems
- Miscellaneous tasks to support their manager, which will vary according to the sector and to the manager's remit, eg completing some corporate governance reporting (to ensure that the business is being run properly and complying with legislation and regulations) or conducting research.
Qualifications
- Experience in Personal Assistance and Executive Administrative Assistance
- Excellent Communication and Diary Management skills
- Strong clerical skills, including filing, record-keeping, and document management
- Excellent organizational and time management skills
- Bachelor's degree.
- Proven work experience as a Personal Assistant
- Knowledge of office management systems and procedures
- Excellent communication, negotiation, team management skills and interpersonal skills.
- Ability to work in a fast-paced, dynamic environment and manage multiple priorities.
