Main Responsibilities:
We are seeking a highly organized and proactive Executive Assistant to provide comprehensive support to the CEO and the management committee. The ideal candidate will possess exceptional communication skills, a keen attention to detail and the ability to handle a wide range of administrative and executive support tasks. This role requires discretion, efficiency, proactive mindset, relationship management and the ability to thrive in a fast-paced environment.
- Manage multiple calendars, schedule appointments, and coordinate meetings
- Prepare and organize materials for executive meetings, ensuring timely distribution
- Act as a liaison between the management committee and internal/external stakeholders, demonstrating professionalism and confidentiality
- Screen and prioritize incoming communications, including emails and phone calls
- Draft and edit correspondence, reports, and presentations on behalf of the CEO
- Conduct research and compile data to support decision-making processes
- Coordinate travel arrangements and accommodations
- Assist in organizing corporate events and functions
- Handle sensitive information with discretion and maintain confidentiality
- Manage special projects and tasks as assigned
Technical Required Skills:
- Proven experience as an Executive Assistant or similar role
- Exceptional organizational and multitasking abilities
- Strong written and verbal communication skills in English and should be proficient with French (atleast B1 level)
- Excellent speed of response and communication on emails and other modes of communication
- Proficient in MS Office, MS Teams and other relevant software
- Ability to maintain a high level of professionalism and confidentiality
- Detail-oriented with a proactive and problem-solving mindset
- Strong interpersonal and relationship management skills and the ability to work collaboratively with diverse teams
- Flexibility to adapt to changing priorities and deadlines
Qualifications:
- Bachelor's degree in Business Administration or related field preferred
- Minimum of 7-10 years of relevant experience supporting C-level executives
- Certificate or additional degree in Secretarial Practice
- Intermediate/expert level proficiency or certification in MS Office and MS Teams
