Main Responsibilities & Activities
Responsibilities for executive assistant:
Office Administration
- Provide effective administrative & secretarial support to the Head of India MSC office. Manage tasks such as scheduling Leadership & other meetings; reviewing, prioritizing, responding to emails, calls; organizing documents; maintaining records; taking minutes & any other administrative tasks that help the executive perform their job.
- Managing meetings logistics like Meeting Room Booking, Arranging High tea/Lunch/Dinners/Coffee etc.
- Coordinate travel arrangements, visitors’ logistics management and tracking expenses, records.
- Coordinate for internal & external meetings & events sponsored by MSC like Off-sites and transversal team events.
Managing MSC Head Calendar & Communication
- Manage calendar with attention to accuracy, detail, and allocation of time to promote productivity.
- Managing Global Visitors and Customer Visits, workshops, prepare agenda for Global Executive visits, arrange logistics, meetings, and engagements. Coordinate travel, hotel accommodation, local coordination.
- Prepare business presentations & Org Charts, Business Review presentations, coordinating input from multiple stakeholders, business transformation initiatives tracking, MSC value propositions, position papers, case studies, All Hands calls presentations, global presentations & briefings
- Preparing & consolidating Dashboards (resources, skills, competencies, learning & development, financials, MSC success stories, etc.) MIS Reports, Presentations for MSC Head office and MSC PMO
- Maintaining key documents – compliance calendars, presentations for MSC certifications & audits - financial, ISO, GEEIS, ISAE 3402/SOC2, H&S, customer audits, etc
- Management of common MSC transversal projects & programs - Dream initiatives, etc.
Program Coordination
- Help & Support – MSC PMO for
- MSC governance
- Management of MSC strategic & transformation projects
- Communications and support of daily site activities in MSC
- Support to local HR, REFM team for employee value proposition related events/activities like HWOW, RnR, etc.
- Coordinate with local communities, PMO team, Community leads, Communication team for MSC transversal events/activities, project management & governance reviews.
- Program & project management of multiple projects and complex situations
votre profil
Profile & Experience
- Education: Bachelor’s degree in Business, Management, Commerce, International Relations
- 3 to 5 years of work experience as an executive assistant for Senior Management position
- Project management coordination experience in a global, multicultural, dynamic, & complex environment
- Highly organized & Ability to pay attention to detail
- Executive level coordination & planning acumen
- Organization skills & Ability to multitask
- Ability to communicate effectively at all levels
- Excellent communication & presentation skills & computer literacy
- Ability to maintain a high level of accuracy and confidentiality concerning Business information
- Should possess positive attitude, be energetic & self-motivated
- Ability to manage multiple tasks while setting appropriate priorities and responding to changes
