Job Description

The person in this position will be accountable for researching, developing, managing, executing, and owning the P&L for a portfolio of technology events and allied projects within the core areas of the company's focus. The role will help contribute to the sharing of Science, Engineering, and Technology knowledge among members and the wider engineering community, including academia, industry, practitioners, and society. Our portfolio will include both physical, digital, and hybrid assets like conferences, exhibitions, webinars, training, and courses that are commercially viable and designed to raise brand awareness and promote our products and services in India.

Main Duties and Responsibilities

Research:

• To research and stay updated with the latest technology trends for conceptualizing events

• To carry out robust market research to ensure the viability of each event

• Research and identify speakers for the events

• To carry out regular competitor and risk analysis for events

• To build up industry knowledge and a network of contacts within the core sectors

Project management:

• Create program management capability within the organization to enable handling of large format physical events, virtual events, courses & training

• To be responsible for creating, implementing, and updating project plans for the events and allied activities

• To create and follow event processes and ensure key event deadlines are met

• To recruit/outsource/partner/upskill resources to ensure successful delivery of events and allied activities

Content production:

• To be responsible for producing the content for physical and virtual events like conferences and webinars

• To be responsible for building an inventory of topics and content for events across the year

• Get the content vetted by the relevant experts for validation and ratification

• Ensure the content is aligned with the strategic focus areas

Strategic planning:

• To be responsible for creating strategic plans for their business

• To be responsible for creating business plans for any new events and projects

Sales:

• To be responsible for generating revenue from the events to make them commercially viable and sustainable

• To create a sales plan, business plan for the events and allied activities

• To be responsible for ensuring all sales-related commitments are met for the stakeholders like sponsors/partners/exhibitors/delegates/visitors

• To create and work on a pipeline for incoming leads for events and follow up on closures

• To create sales proposals, sales decks and supporting sales reports and presentations

Stakeholder management:

• To work with members' sector panels and IET UK to generate and validate new activities and topics

• To work with thought leadership and policy department to produce knowledge outputs like whitepapers, recommendation reports

• To identify, appoint, and work with senior volunteers and committee members to meet event deadlines and approvals

• To organize regular meetings between all stakeholders of the events to update and understand progress and resolve any pending tasks

• To ensure minutes of the meeting with action items and timelines are sent to the stakeholders post every meeting and follow them up to closures

• To communicate with relevant colleagues in the UK to maximize the reach of the events portfolio

• To build links with external partners to increase awareness and success of our events

Marketing:

• To work with the Marketing and Communications Team to create a marketing plan and collaterals for the event and allied activities

• To liaise with the Marketing and Communications Team for marketing deliverables for events including but not limited to delegate acquisition for events, writing and proof-reading all material for the web, email campaigns, and print marketing channels as well as public relations and media activities

• To have a fair understanding of social media marketing and email campaign platforms in order to drive end-to-end marketing for events in case of any contingencies

Budgeting and forecasting:

• To be responsible for the overall P&L of each event

• To be responsible for creating a financial plan, managing the budget for each event, and ensuring that budgeted costs are not exceeded

• To ensure that events are commercially viable and sustainable

• To maintain complete and accurate records of each event, including a post-event report and budget reconciliation to be sent to the UK

Secretariat and vendor liaising:

• To be responsible for identifying and onboarding speakers to events

• To be responsible for all aspects of organizing each event, including speaker and sponsor liaison, venue or virtual platform sourcing, and liaison with external vendors in the delivery of goods and services

Legal and Contracts:

• To be responsible for the creation of contracts/MOUs and liaising with the legal team to validate and manage these contracts for partners, vendors, resources

Others:

• To undertake any additional duties and projects at the request of the line manager

• Prepare all relevant reports and submit them as per the deadline

• To provide support to other departments with respect to events

Person Specification

Essential

• An interest in engineering and technology

• At least 5 years of project/event management experience

• At least 5 years of experience in key account management and sales

• End-to-end project/event management

• Educated to Management degree level

• Conference content production and validation experience

• Excellent verbal and written communication skills, with a good command of the English language

• Excellent research skills

• Ability to multitask

• Self-motivated team player

• Ability to organize and prioritize workload, and work autonomously

• Experience in managing budgets and working to tight deadlines

• An ability to develop strong relationships, internally and externally

• Competent using MS Office, Google Suite

• Ability to create good PowerPoint presentations and present them

• A keen and quick learner looking to become an integral member team

• Flexibility to work remotely and travel as needed

Desirable

• An established network of contacts in core focus areas – Technology, Mobility & Transport

• Experience working overseas

• Having experience in organizing Technology events

• Experience in event operations, vendor & and logistics management

• Experience in event marketing strategies

WORK EXPERIENCE:

• 5 to 8 years of work experience in business development and project management

• Candidates from end-to-end events management, and project management with strong

communication skills will be preferred

• Experience working for an international organization

• Experience in vendor management, people management
