Job description

Key Responsibilities:

1. Office Management:

Maintain office supplies inventory and reorder supplies as needed.

Manage office equipment including printers copiers and fax machines ensuring they are in working condition.

Coordinate with maintenance staff for repairs and maintenance of office facilities.

2. Administrative Support:

Provide administrative support to various departments including HR finance production and logistics.

Assist in scheduling meetings appointments and conference calls.

Prepare and distribute internal communications memos and reports.

Manage travel arrangements and accommodations for factory personnel when necessary.

3. Record Keeping and Documentation:

Maintain accurate records and documentation including employee records attendance records and inventory records.

Organize and file paperwork in accordance with company policies and procedures.

Ensure compliance with regulatory requirements related to recordkeeping and documentation.

4. Communication and Coordination:

Facilitate communication between different departments and teams within the factory.

Serve as a point of contact for internal inquiries and external stakeholders directing inquiries to the appropriate personnel.

Coordinate with external vendors and suppliers as needed.

5. Health and Safety Compliance:

Assist in implementing and enforcing health and safety protocols within the factory.

Conduct regular safety inspections and report any hazards or concerns to management.

Ensure compliance with health and safety regulations and company policies.

6. Employee Support:

Assist in onboarding new employees including coordinating orientation sessions and completing necessary paperwork.

Address employee inquiries and concerns related to administrative matters.

Support employee engagement initiatives and activities within the factory.

Requirements

Qualifications:

Bachelors degree in business administration human resources or a related field preferred.

Proven experience in administrative roles preferably in a manufacturing or factory environment.

Strong organizational and multitasking skills with the ability to prioritize tasks effectively.

Excellent communication and interpersonal skills.

Proficiency in MS Office Suite (Word Excel PowerPoint Outlook).

Familiarity with office equipment and basic maintenance procedures.

Knowledge of health and safety regulations and compliance standards.

Attention to detail and a commitment to accuracy.

Ability to work independently with minimal supervision.

Flexibility to adapt to changing priorities and deadlines.

Strong problemsolving skills and a proactive approach to resolving issues.
